As a Scheduling Operations Associate, you will play a vital role in ensuring that patients receive top-quality care by coordinating with caregivers, clients, and patients to fill shifts and handle staffing scenarios. About the Role As a Scheduling Operations Associate, you will work closely with home health care agencies and long-term care facilities to fill caregiver shifts, ensuring that patients receive the assistance they need. This role requires a unique blend of technical, communication, and problem-solving skills, as you will work across multiple technology systems to ensure accurate record keeping and interact directly with caregivers, clients, and patients. Key Responsibilities: Interact directly with clients, caregivers, and patients to handle client-related matters, including staffing scenarios and attendance issues (no shows, lateness), schedule changes, and customer service complaints. Utilize technology to assign clients to the appropriate clinicians, ensuring seamless coordination and efficient use of resources. Use a Zendesk ticketing system to track ongoing cases and communication, ensuring that all issues are addressed promptly and effectively. Communicate with caregivers and patients regarding any updates or changes to their schedule, providing clear and concise information to ensure smooth operations. Utilize technology across multiple software systems (Google Workspace and proprietary systems) to ensure the best service for all, including handling Patient Health Information (PHI) with confidentiality and accuracy. Proactively problem-solve and handle difficult situations or customers as they arise, demonstrating a positive and solutions-oriented attitude. Requirements and Qualifications Essential Qualifications: Some customer service experience, with a friendly, positive, and solutions-oriented approach. Highly organized with attention to detail, able to follow clearly defined procedures and prioritize tasks effectively. Ability to quickly work in multiple technology platforms simultaneously, with a high level of comfort and proficiency. Effective communication skills with clients, patients, caregivers, and families, with the ability to adapt to diverse communication styles. Preferred Qualifications: Previous experience as a healthcare scheduler (or other industry front-line scheduling) is a plus, providing valuable insight into the challenges and opportunities of this role. 1-2 years of customer service, hospitality, or retail experience, demonstrating a strong foundation in communication and problem-solving. Fluency in Spanish is a plus, enabling effective communication with a broader range of clients and patients.
