Job Duties and Responsibilities
As a Customer Support Specialist at Workwarp, you'll be responsible for delivering exceptional client experiences, handling a range of tasks, and working closely with our team to achieve our goals. Your key responsibilities will include:
Ensuring a positive client and guest experience for each individual who interacts with our organization
Maintaining general knowledge of daily business operations and performing client-facing duties, such as assisting with medication pickup, scheduling appointments, and collecting and processing financial and insurance documents
Assisting with facility opening and closing duties, as well as other administrative tasks
Creating and editing client charts or episodes in our Electronic Health Record (EHR) system, as applicable
Initiating Client Data Core (CDC) and documenting client communication in EHR, as appropriate
Assisting clients with connecting to clinicians via iPad and providing a confidential setting for services
Assisting with connection to Crisis services for walk-ins and call-ins, as needed
Scanning required documents into EHR and maintaining accurate records
Collecting and processing deductible and co-payments from individuals served
Assisting with processing incoming and outgoing mail and faxes
Maintaining medication inventory and ensuring compliance with medication protocol
Processing proof of insurance information and completing Patient Assistance Program applications
Forwarding medical records requests to the Medical Records Office and ensuring accurate completion of Release of Information (ROI) forms
Promoting our Certified Community Behavioral Health Clinic (CCBHC) concept by providing or supporting community-based mental and substance use disorder services
Performing other reasonably related duties as assigned by your supervisor or other management
Participating in staff meetings and training sessions as needed
Meeting satisfactory expectations at scheduled job performance evaluations and demonstrating competence in your role
Education and Experience
To be considered for this role, you'll need:
A High School Diploma or equivalent
At least 2 years of experience in a previous receptionist or clerical position
Proven data entry skills and knowledge of Windows and Microsoft Applications
Experience in multi-tasking, prioritizing, and working independently
Knowledge, Skills, and Abilities

Excellent communication skills, including active listening and the ability to communicate effectively in person, in writing, and over the phone
Knowledge of, or ability to learn, customer service specializations and area-specific protocols
