Job Overview We are looking for a Part Time Executive Assistant to provide administrative support to our Director and executive team. The successful candidate will be responsible for managing the Director's diary, booking travel arrangements, compiling reports and presentations, and undertaking various projects and tasks as required. This is a part-time position, working 20 hours per week, with a competitive salary and benefits package. Key Responsibilities Plan and perform effective diary management for the Director, ensuring appointments are scheduled in a time-efficient manner and any supporting documentation required is available and presented in a professional format. Book travel itineraries, including air, hotel, transfers, and visas, and ensure that all necessary arrangements are made for the Director's trips. Compile reports and presentations to support business development, using advanced Microsoft Office skills, including Word, Excel, and PowerPoint. Undertake projects and tasks as required by the Director, using initiative and prioritizing workload to meet deadlines. Conduct daily calls and meetings with the Director to ensure progress on outstanding actions and identify updates and further actions required. Perform effective email management for the Director, filing and responding to emails as required, and highlighting items of importance, requiring urgent attention, or follow-up. Provide wider executive administrative support for the executive team as necessary, building and maintaining effective working relationships with a range of people. Prepare and submit monthly expenses for the Director, ensuring accuracy and attention to detail. Manage an excellent filing, indexing, and archiving system, both electronic and paper, in accordance with internal and external regulations, to ensure swift retrieval and review purposes. Essential Qualifications To be successful in this role, you will need to have previous proven experience as a PA or Executive Assistant, with a strong track record of providing exceptional administrative support at board or executive level. You will also need to have: Excellent communication and interpersonal skills, with the ability to communicate confidently at all levels in an engaging and positive manner. Advanced Microsoft Office skills, including Word, Excel, and PowerPoint. Excellent organizational and administrative skills, with the ability to juggle competing priorities and manage own workload. Ability to build and maintain effective working relationships with a range of people, resolving conflicts or problems as they arise. Ability to remain calm under pressure and anticipate and stay one step ahead. Good attention to detail and ability to work flexibly and adaptably. Preferred Qualifications While not essential, the following qualifications and skills would be desirable: Experience working in a remote or virtual team environment. Knowledge of commercial or business requirements and how they impact on priorities. Experience with project management tools and software. Ability to speak multiple languages.
