Overview of the Role:
The operations associate plays a crucial role within the operations team, responsible for managing and optimizing the firm's client accounts through the Black Diamond platform. This role focuses on enhancing client reporting processes, maintaining accurate account data, and ensuring timely and accurate system reconciliations. The administrator will also support system customization, manage user access, and generate reports, contributing to the efficiency of internal operations and the overall client experience. Collaboration with the investment, client relations, and operations teams is essential to ensure seamless account management and client service.
Essential Duties and Responsibilities:
· Client Reporting Management: Partner with the investment and client relations teams to streamline the client reporting process in Black Diamond, ensuring accurate and timely report delivery.
· Standard Reporting & Distribution: Leverage Black Diamonds Report Builder to run template-based reports and manage distribution via the Report Archive to share necessary data with internal teams and clients.
· Billing & Invoice Processing: Oversee the creation and approval of Black Diamond billing invoices, working with representatives to obtain approvals and submitting final invoices to the Accounting Department for processing.
· Role & Access Control: Manage user roles and permissions within the Black Diamond system, ensuring appropriate access to tools and features based on individual responsibilities.
· Account Setup & Maintenance: Use the BD Monitor to identify new accounts and resolve maintenance tasks, ensuring accurate setup and up-to-date portfolio details.
· Month-End Account Reconciliation: Perform month-end reconciliations for closed accounts with Pershing and Schwab, ensuring all transactions and closures are correctly processed.
· Operational Support & Cross-Training: Provide backup support to other departmental roles as needed, assisting the Operations team to ensure smooth system and operational functions.
What Youll Bring:
? Educational Background: A bachelors degree in business or a related field is preferred.
? Experience: 2-3 years of experience with Black Diamond or similar investment management platforms is required.
? Organizational Skills: Strong organizational skills with keen attention to detail.
? Self-Starter: A highly motivated, proactive individual with integrity, a strong work ethic, and a passion for providing excellent client service.
? Multitasking Ability: Proven ability to manage multiple tasks simultaneously, with a focus on prioritization and efficient execution.
? Operational Experience: Previous operational experience, particularly within investment management or related fields, is essential.
? Ethical Standards: Commitment to understanding and adhering to applicable policies and procedures, while consistently applying ethical standards in all business activities.
