Job context
This position is a member of the Senior Management Team along with the Program Manager, Finance Manager, Senior Operations Officer, DMEL Manager, and Capacity Building Managers.
Grants management
Support with DMEL activities
Administrative activities; reporting, upkeeping of the database for grants, managing problems rising from Hypha with the support of tech team.
Responsibilities
Grant Management
Developing and tracking grants’ annual planning (with support from Operations team for available budgets)
Coordinate with other DDP program members and Grants Officers about the planning of calls for application and streamlining the process
Verifying and validating all the partner contracts (prepared by the Grants Officers)
Monitoring the Hypha for the applicant files, organizing the vetting of IRF, SPF, RPF and CNF applications
Maintaining the efficient running of the Hypha application portal by liaising with Tech Officers and Operations team
Signing partner contracts up to 20k EUR (above that amount is signed by PM)
Verifying and validating final reports for contracts above 20k EUR
Liaising with the Operations team for timely partner payments and follow up
Developing granting guides, drafting and implementing, for the Grants Officers and wider DDP teams
Ensuring compliance with Hivos/DDP grants procedures and proposing new or simplified procedures aligning with Hivos guidelines
Updating and monitoring compliance for risk management, particular attention to fraud and irregularity procedures and cases, in consultation with Program Manager, Deputy Operations and Finance Manager
Managing fraud and irregularity cases and supporting relevant Grants Officer for an efficient follow up.

Managing the team of Grants Officers
Ensuring the conducive work environment for the Grants team and their well-being
Providing guidance on grants assessment, management and contracting procedures to all Grants Officers
Onboarding new Project Officers on grants workflow and contracting process and general grants procedures
DMEL Support
Supporting DMEL reports and liaising with the DMEL manager for preparation of donor reporting
Maintaining and updating grants database with the support of Grants Officers
Administrative Tasks
Preparing monthly activity reports
Initiating and organizing Grants team meetings (on a bi-weekly basis)
Attending Senior Team meetings (bi-weekly)
