As an Administrative Assistant, you will play a vital role in ensuring the smooth operation of our instructional department, providing critical support to our administrators, and contributing to the overall success of our students. About the Role We are looking for a highly skilled and organized Administrative Assistant to provide administrative support to our Curriculum Coordinator and Instruction department. The successful candidate will possess excellent communication and interpersonal skills, with the ability to work effectively with staff, students, and external stakeholders. This is a 12-month position with a competitive salary of $15.39 per hour. Key Responsibilities Respond to Inquiries : Respond to internal and external inquiries, providing information related to departmental programs, activities, and functions via phone, email, or written correspondence. Compile Data and Reports : Compile data and reports, order equipment and supplies, and establish and maintain department records. Document Processing : Process documents and materials, including billing, past due notices, collections, credits, and credit card statements. Compose Documents : Compose and prepare documents, including letters, newsletters, memorandums, reports, tables, graphs, charts, and project status updates. Research and Scheduling : Research topics as requested, schedule appointments and meetings, and coordinate a wide variety of programs and activities. Project Management : Manage and complete assigned regular and special department projects on-time and within budget. Equipment and Supply Ordering : Order equipment, supplies, and materials to maintain availability of required items. Requirements and Qualifications Essential Qualifications: Education : High school diploma or equivalent required. Experience : One to three years of experience in an administrative office setting. Technical Skills : Operating knowledge of personal computers, office equipment, and office productivity programs, such as Microsoft Office Suite and email. Communication Skills : Strong oral and written communication skills, with excellent interpersonal relations and customer service skills. Attention to Detail : Ability to maintain confidentiality, manage multiple tasks with frequent interruptions, and prioritize tasks effectively. Preferred Qualifications: Experience with District Information Technology Systems : Experience with district information technology systems and department-specific software and equipment.
