Job Summary

As an Executive Assistant, you will report directly to the CFO and provide support to the CEO and other senior leaders. Your exceptional organizational skills, attention to detail, and ability to multitask will be essential in this fast-paced role. You'll be responsible for managing confidential information, preparing correspondence and reports, and coordinating meetings and events. Key Responsibilities


Provide strategic support to the CFO and CEO, including calendar management, email management, and preparation of correspondence and reports
Manage confidential information with discretion and professionalism
Coordinate meetings, conference calls, and corporate events, ensuring seamless execution
Prepare presentation materials, reports, and other documents for senior leadership
Develop and maintain spreadsheets, PowerPoint presentations, and other documents using MS Office applications (Word, Excel, Outlook, PowerPoint, Adobe Acrobat, and Visio)
Make travel arrangements for senior leadership and others as needed
Assist with lunch-break phone coverage rotation and other administrative tasks
Maintain organizational charts and other records
Reconcile corporate credit card statements and perform other financial tasks as needed
Collaborate with the Marketing department on various projects
Interact with all levels of personnel across different business lines within the organization
Use a variety of office equipment to complete projects
Perform other duties as requested by senior leadership


Requirements and Qualifications

Essential Qualifications:


One to three years of prior experience supporting a senior executive or team
Excellent written and verbal communication skills
Time-management skills and ability to meet deadlines
Attention to detail and ability to multitask
Strong organizational skills and ability to prioritize tasks
Proficient in Microsoft Office applications (Outlook, Word, Excel, and PowerPoint)
Strong interpersonal skills and ability to build relationships with colleagues and stakeholders


Preferred Qualifications:


Bachelor's degree in a related field
Experience with Adobe Acrobat, Visio, and other software applications
Certification as an Executive Assistant or administrative professional (e.g., Certified Administrative Professional (CAP) or Certified Executive Secretary (CES))
