Location: Remote Job Type: Full-TimeSchedule: 9am to 5:30pm PSTCompensation: $20 - $24 DOEPosition OverviewWe are seeking an experienced, proactive ABA Scheduler to lead scheduling efforts across our behavioral health programs. This individual will play a key role in driving efficient operations by managing daily scheduling needs, scheduling assessments resolving conflicts, and creating long-term scheduling solutions for both clients and staff. A successful candidate will be a strong communicator, a team-oriented leader, and someone who thrives in a fast-paced, dynamic environment.The Scheduler will work closely with parents, Behavior Technicians, BCBAs, Supervisors, trainers, and the recruitment/onboarding team to ensure that newly hired staff are successfully matched with clients. This role requires strong interpersonal skills, initiative, and the ability to improve processes while providing a high level of customer service to both internal teams and client families.Key ResponsibilitiesLead day-to-day scheduling operations, including real-time adjustments due to cancellations, staff changes, or client needsScheduling assessments in-clinicCommunicate effectively and professionally with parents, technicians, clinical supervisors, and internal departmentsTake initiative in identifying and implementing new scheduling strategies or tools to streamline operationsCollaborate with the recruitment and onboarding teams to match new hires with upcoming client sessionsServe as a liaison between clients, BCBAs, Supervisors, and staff to coordinate overlaps, training schedules, and permanent caseloadsNotify staff and families of updated schedules and reroutes in a timely and courteous mannerTrack and manage client and technician availability, ensuring alignment with service needsHandle last-minute changes and provide immediate solutions with minimal disruption to servicesAssist with staff interviews or operations projects as neededMonitor session cancellations and follow company policies on make-ups and documentationMaintain accurate records and systems related to schedules and availabilityAttend internal meetings and trainings; represent Burnett Therapeutic Services with professionalism and warmthQualificationsMinimum of 2 years experience in scheduling or clinic operations, preferably within ABA, autism services, or healthcare.Excellent verbal and written communication skillsFriendly, approachable, and comfortable speaking directly with parents and staffStrong time management and multi-tasking skillsStrong problem-solving and decision-making skills under pressureProficiency with Google Workspace (Docs, Sheets, Gmail) and/or Microsoft Excel.Highly organized, reliable, and detail-orientedBilingual in Spanish is a mustKey traits: dependable, professional, collaborative, proactive, solutions-driven, and customer service-orientedRequirementsHigh school diploma or equivalent (required)Willingness to learn, grow, and contribute to a team-oriented culturePrior experience recruiting in an ABA/mental health agency or healthcare setting (preferred)Work schedule:9 am to 5:30 pm PST; however, during heavy work times, staff may be asked to work during after-hours.
