As a Back Office Support, some of your responsibilities are but are not limited to:
Carrier Setup & Documentation Management
- Review carrier packets to ensure all required documents are complete (MC certificate, W9, Insurance certificate, signed Truxio carrier packet, etc.).
- Input and verify carrier information in ITS Dispatch.
- Update missing or incomplete carrier data using SaferWatch.
- Communicate carrier enrollment updates to internal teams.
- Monitor overdue invoices using QuickBooks reports.
- Contact clients regarding outstanding balances and provide detailed payment instructions.
- Attach accurate documentation to client communications (invoices, proof of delivery, payment instructions).
- Manage customer collections and payment applications.
- Process carrier bills in QuickBooks and ITS Dispatch.
- Verify invoice details against carrier information and ensure system accuracy.
- Maintain organized and accurate financial records.
- Handle carrier payables efficiently and accurately.
- Assemble complete documentation for invoicing (rate confirmation, BOL, carrier invoice).
- Ensure rate confirmations align with carrier invoice amounts.
- Send invoices and supporting documents to customers.
- Track invoice status updates systematically.

- Studies: High school diploma required. College education is a plus.
- Experience: At least 6 months experience in administration, accounting, and back-office support within the US logistics industry.
- Technical Skills: Must be tech-savvy and can easily learn new systems and tools.
- Language: Good English skills. B2+ or higher is preferred.
- Schedule: Monday to Friday, 8:30 AM - 5:30 PM CST. Work schedule will follow the US calendar.
- Contract: Independent Contractor.
- Work Arrangement: Remote (Philippines-based)
