About the position

The Executive Assistant II at the Texas Water Development Board (TWDB) provides high-level administrative support to the Director and Assistant Directors of the Regional Water Project Development (RWPD) Division. This role involves managing calendars, coordinating meetings, and facilitating communication within the division and with external stakeholders. The position requires a proactive approach to streamline processes and improve customer service, while maintaining confidentiality and managing sensitive information.

Responsibilities
• Provides high level administrative assistance to the Director of the RWPD and other management or staff as necessary.
,
• Schedules and coordinates meetings, appointments, and special events.
,
• Maintains the RWPD board item schedule and develops various correspondence and reports.
,
• Processes and disseminates information between the division and other agency departments, legislators, and the public.
,
• Prepares and tracks expenditure requisitions and coordinates travel arrangements.
,
• Coordinates with other Executive Assistants on personnel action forms and annual appraisals.
,
• Serves as the RWPD point of contact for Public Information Requests (PIRs).
,
• Maintains secure confidential electronic files and assists in preparing materials for presentations.

Requirements
• Graduation from an accredited four-year college or university with a bachelor's degree in Public or Business Administration or a related field.

• Six years of progressive experience in office management and/or administrative support management.
,
• Experience in preparing, editing, and distributing correspondence, reports, forms, and documents.

Nice-to-haves
• Five years of collaborating in a team environment on projects and correspondence.
,
• Seven years of progressive experience in office management and/or administrative support management.
,
• Experience with CAPPS HR, CAPPS Recruit, and CAPPS Financials.
,
• Proficient in Microsoft Office, including Word, Excel, SharePoint, Teams, and Outlook.
