About Trout Unlimited Trout Unlimited (TU) works across the U.S. to bring together diverse interests to care for and recover rivers and streams so our children can experience the joy of wild and native trout and salmon. Our Institutional Giving team secures foundation funding that enables this work at scale.The RoleThis is a precision operations role with a positive, can-do spirit at its core. The Institutional Giving Coordinator ensures that every proposal, report, deadline, and data point is handled accurately and on time, every time. You bring a mindset that solutions exist, challenges can be worked through, and the work can move forward. You are the backbone of execution for a high-performing fundraising team. Success in this role means nothing falls through the cracks, and the team experiences you as reliable, steady, and a genuinely positive partner. This is a part-time position (20 hours per week) and is not eligible for benefits. This position reports to the Director of Institutional Giving and supports a small team of frontline fundraisers.Core ResponsibilitiesGrant & Proposal CoordinationBuild and populate grant templates (proposals, budgets, reports) with accuracy and completeness Track all proposal and reporting deadlines and proactively drive the team to meet them Assemble, review, and submit materials that are clean, complete, and on time Manage grantor portals, including logins, submissions, and recordkeeping Data & Systems ManagementEnter and maintain accurate, up-to-date data in CRM (NetSuite) Track grant payments and coordinate coding with Finance and program staff Maintain organized, reliable grant files and archives Manage shared systems (SharePoint, trackers, templates) so information is current and accessible Team OperationsMaintain a master calendar of all institutional deadlines and deliverables Schedule and coordinate meetings across teams Prepare materials for funder interactions and internal planning Ensure timely, accurate thank-you letters and stewardship touchpoints Take ownership of additional administrative tasks and special projects as needed, ensuring they are completed with the same level of accuracy, timeliness, and follow-through as core responsibilities Process Discipline & Quality ControlIdentify gaps, inconsistencies, or risks and resolve them before they become issues Maintain and improve standard operating proceduresServe as a final check for completeness and accuracy across submissions and records What Success Looks LikeDeadlines are consistently met without last-minute scrambling Submissions are accurate, complete, and professional Data are reliable and up to date The team operates smoothly because details are fully handled Colleagues experience you as dependable, solutions-oriented, and easy to work withWho You AreYou bring both operational excellence and grounded optimism to your work.Highly reliable: You do what you say you will do, on time Detail-oriented: You take pride in getting things exactly rightOrganized and disciplined: You manage multiple priorities without dropping tasks Proactive: You anticipate needs and close gaps without being asked Optimistic and solutions-oriented: You believe there is always a way forward and approach work with a “figure it out” mindset Friendly and collaborative: You build positive, respectful working relationships across teams Flexible and responsive: You are comfortable taking on a range of tasks and shifting priorities while maintaining high standards Steady under pressure: Deadlines and complexity do not derail your focus or your attitudeThe Impact of This RoleIn this role, you make the work possible. Requirements
Must Have2–5 years of experience in fundraising operations, administration, or similarly detail-intensive work Demonstrated ability to manage multiple deadlines and workflows simultaneously Strong organizational skills with consistent follow-through High level of attention to detail and accuracy in written and data-driven work Strong written communication and copyediting skills Proficiency in Microsoft Office (especially Excel and Outlook) and shared file systems Experience maintaining data in a CRMAbility to work independently in a remote environment and manage priorities without close oversight Interest in and enthusiasm for Trout Unlimited’s mission Nice to HaveExperience with institutional fundraising or grant management Familiarity with grant proposal and reporting processes Experience working with grantor portals Experience coordinating across multiple teams (e.g., finance, program, communications) Experience with document management systems such as SharePointHow to ApplyBy 8:00 p.m. ET on April 17, 2026, please provide a resume and cover letter to Trout Unlimited via our online job application system.
