Job Overview We are looking for a talented and versatile individual to provide administrative support to our Performance Division Office. As a Temporary Part-Time Office Coordinator, you will play a vital role in maintaining the smooth operation of our office, ensuring a positive and welcoming atmosphere for all visitors, and providing exceptional support to our team. Key Responsibilities Maintain a positive and welcoming atmosphere for all visitors to the office, ensuring a professional and inclusive environment. Manage the Dean's calendar, coordinating meetings, appointments, and events with precision and attention to detail. Organize, process, and track form submissions for various processes, including travel, purchasing, guest artist and faculty compensation, and student class waiver requests. Utilize online data management services such as Salesforce to streamline processes and improve efficiency. Manage internal division e-forms, ensuring timely and accurate completion and submission. Coordinate and book travel for guest artists, students, and faculty for college-related trips, ensuring compliance with institutional policies and procedures. Process class coverage forms and additional compensation for division faculty, maintaining accurate records and ensuring timely payment. Manage division guest artist requests, processing them in Workday and ensuring seamless execution. Enter work orders, manage room reservation requests, and direct walk-ins to the appropriate areas, providing exceptional customer service. Communicate effectively with faculty, students, and staff, responding to general division questions and providing support as needed. Perform other duties as assigned, demonstrating flexibility and a willingness to adapt to changing priorities. Essential Qualifications High school diploma or equivalent required; associate's or bachelor's degree preferred. 1-2 years of administrative experience, preferably in an office environment. Excellent communication, organizational, and time management skills. Ability to work independently and as part of a team, demonstrating a collaborative and flexible approach. Proficiency in Microsoft Office, particularly Excel, Word, and Outlook. Experience with online data management services such as Salesforce and digital signature platforms like HelloSign is desirable. Musical experience or knowledge of the music industry is preferred, but not required. Preferred Qualifications Experience working in a fast-paced office environment, prioritizing multiple tasks and deadlines. Knowledge of Workday or similar HR systems, demonstrating an ability to learn and adapt to new technologies. Excellent problem-solving skills, with the ability to think critically and creatively. Strong attention to detail, ensuring accuracy and precision in all aspects of work. Ability to maintain confidentiality and handle sensitive information with discretion. Skills and Competencies Communication: Excellent verbal and written communication skills, with the ability to effectively interact with diverse stakeholders. Organization: Proven ability to prioritize tasks, manage multiple projects, and meet deadlines in a fast-paced environment.
