Job description: This position serves as the department's grant coordinator for the Southern Service Area office. Responsibilities include managing and coordinating grant requirements for the department, generating correspondence and reports for the director, maintaining three SE district budgets, the Title 1 budget, and the 31a budget. This person shall also serve as a liaison between the department's administrators and the Human Resource department and the Business office. Experience in Excel and Google Spreadsheets is required for this position.

Essential Duties and Responsibilities:

Alerts director and other administrators of matters that require immediate attention


Proactively assists in actions to meet deadlines and address the needs of district personnel
Provides support for design, implementation, and monitoring of procedures within the department
Serves as a liaison between the administrators, other staff, and community in a confidential and supportive manner
Maintains physical environment within the office areas
Front line for receiving incoming communication and phone calls; triages as necessary to appropriate personnel
Provides support to administrators as requested
Process mileage monthly
Purchasing ? materials and supplies
Maintain and update licensure with ESI personnel to report to KRESA
Manage professional affiliations for all ESI staff
Coordinates with the HR department throughout the year to ensure accuracy of personnel
Completion of confidential HR forms - requisitions, change of status, termination
ESI Staff Directory
Hiring new personnel: HR Forms/hiring/interviews/applications
Work with HR staff to maintain an up-to-date para-professional list
Monitors and maintains office supplies
Communicates with vendors
Compiles materials request for use in budget development
Updated December 2022

Completes purchase orders
Coordinates and monitors delivery to buildings
Conducts price comparisons
Reconcile purchase orders and credit card transactions
Updates budgets (SE, Title 1, 31a) with actual costs
State & Federal Grant Management
Prepare Proposed SE budget for Portage, Schoolcraft, and Vicksburg with the Directors, submitted twice a year to KRESA
Assist in completing the 31a state budget with the director
Complete Title 1 School Selection and Comparability report for Title 1 within the designated system
Complete the Title 1 portion of the Consolidated Application with directors
Monitor and fulfill responsibilities within the State and Federal Grant to ensure timely planning and completion of requirements
Coordinate and collect required documentation for all grants
Review budgets on at least a monthly basis to ensure expenses are allocated accurately
Work with the director to develop budget spreadsheets for each grant/budget area
Work with director to generate/review/revise 31a identification documents and other program requirements
Work with local private schools to allocate Title 1 budgets
Professional Communication and Learning
Assists with communication of regularly scheduled meetings and routine communication
Assists with procurement of rooms and set up for professional meetings
Prepares meeting and PD materials upon request
Provides support as needed before, during, and after meetings and PD
Reviews conference requests and proposals received from district SE staff, Title 1 staff, and counselors ? Performs other duties as assigned. ? Regular and consistent attendance. ? Must have knowledge of and comply with the policies and procedures contained in the Portage Public Schools Employee Handbook. Qualifications:

One to three years? experience grant management and coordination.
Familiarity with public school finance and/or special education.
Extensive experience with information systems and reporting tools.
Ability to work with minimal supervision, ability to prioritize and manage multiple projects; ability to problem solve and make decisions.
Ability to establish and maintain effective working relationships with district staff and the public.
Ability to assume responsibility, display initiative, and exercise good judgment.
Proficient computer and document skills.
Excellent verbal and written communication skills.
