They are seeking a Sales and Marketing Executive Administrator to provide administrative support to senior leadership within the Sales & Marketing department, ensuring efficient operations and communication.ResponsibilitiesProvide administrative support to senior Sales & Marketing leadershipManage incoming and outgoing communications, including phone calls and emails, with professionalism and efficiencyCoordinate calendars and schedule meetings, including daily team meetings and leadership engagementsMaintain accurate, organized, and confidential records, files, and documentationPrepare reports and departmental documentation, including expense reports, banquet forecasts, and 21-day catering reportsMonitor and manage sales and catering inquiry portals, ensuring timely review and assignment to the appropriate team membersCoordinate group-related business logistics, including proposals, contracts, menu cards, parking vouchers, and welcome amenitiesCreate and manage individual reservations for VIP guests as requested by senior leadershipServe as the subject matter expert for departmental software systems (e.g., Delphi, Shiji, Microsoft Office)Oversee day-to-day operations of the Sales & Marketing office to maintain an organized and efficient work environmentMonitor inventory and maintain adequate office suppliesManage correspondence distribution, including emails, phone calls, and physical mailAssist with onboarding new team members and coordinate training sessionsCollaborate cross-functionally with internal departments to ensure smooth execution of operations and eventsProvide oversight and support Sales and Marketing Coordinators, ensuring daily tasks are performed in alignment with hotel and company standardsPromote consistency, efficiency, and professionalism across administrative workflowsSkillsPrevious experience as a seasoned Sales and Catering Coordinator in an upscale or luxury hotel preferredExperience providing oversight in a multi-segmented work environmentFirst-hand knowledge of sales and catering workflows and sales-related systemsExcellent organizational skills, attention to detail and the ability to work under tight deadlinesAbility to effectively deal with internal and external clientsHighly skilled at Microsoft Word and ExcelThorough organization and time management skills to complete tasks efficiently and timelyAbility to listen effectively, to speak and write English clearlyExcellent knowledge of English grammar and spellingAccurate typing skills at 50 words or more per minuteHigh school diploma or equivalent requiredBenefitsVacation Pay and Sick/Personal time (in accordance with Chicago Paid Leave and Paid Sick Leave Law)Paid HolidaysMedical, Dental and Vision Insurance for you and your family (employee paid partial premiums)Basic Life Insurance, AD&D, and Short-Term Disability (company paid)Long Term Disability, Additional Life Insurance, Child Life, Spouse Life, Pet Insurance, ID Theft Protection Coverage, Prepaid Legal, Critical Illness, Hospital Care, Accidental Injury Supplemental Plans (available for purchase)401k plan with Roth option and employer matchFree meals while on dutyUniforms and cleaning of uniforms (for applicable positions)Free and discounted hotel staysDiscounted parkingGuidance Resources – company paid benefit for personal counselingCompany OverviewEVOLUTION OF HOSPITALITY.
