We are seeking a highly organized and proactive Administrative Assistant to join our dynamic team in a remote capacity. In this pivotal role, you will provide essential support to our executives while ensuring the seamless operation of our business activities. Key Responsibilities
• Deliver comprehensive administrative support to executives and management teams.
• Oversee calendar management, ensuring executives are apprised of critical action items and communications.
• Screen and manage incoming calls and emails, providing responses or forwarding them as necessary.
• Arrange travel and accommodation logistics as required.
• Draft, format, and organize a range of documents, including emails, letters, reports, and marketing materials.
• Maintain and track electronic business documents effectively.
• Coordinate meetings by scheduling, preparing agendas, and managing logistical details.
• Assist with systems for lead generation and back-office operations, including process optimization.
• Maintain and update operational manuals (Standard Operating Procedures).
• Manage inventory of office IT supplies and place orders for necessary equipment.
• Ensure the smooth operation of office supply requirements for both remote and in-office staff.
• Provide IT assistance, including supporting office setups and troubleshooting technical issues.
• Contribute to special projects, such as office relocations or furniture requirements.
• Prepare weekly reports detailing the progress of completed or ongoing tasks.
Required Skills

• Proven experience in customer service and operations with strong interpersonal skills.
• Excellent organizational skills and time management abilities with meticulous attention to detail.

• Ability to handle confidential information with discretion and professionalism.
• Proficiency in using communication platforms, including phone and video conferencing.
• Basic knowledge of hardware, including troubleshooting and diagnosing computer issues.
• Strong presentation skills and capacity to quickly grasp proprietary software.
Qualifications
• High school diploma or equivalent required; an Associate’s degree or higher is preferred.
• Previous experience in administrative support or a related field is essential.
• Familiarity with office management practices and procedures is advantageous.
