You will own nearly every moving piece that keeps our recruiting pipelines organized, responsive, and professional.You’ll work closely with hiring managers and the People team to ensure candidates move smoothly through the process and that every open role is run with structure and consistency.This is a role for someone who loves coordination, systems, and follow-through — and wants to build a long-term career in recruiting or People.This role requires consistent availability during core U.S. Eastern Time working hours. Candidates must be able to work approximately 9:00 AM – 5:00 PM ET to ensure real-time coordination with hiring managers and candidates.What you’ll doOwn interview scheduling & coordinationSchedule and reschedule interviews across multiple stakeholders and time zonesCoordinate interview panels, kickoff meetings, and debrief sessionsManage last-minute changes with speed and professionalismEnsure candidates receive clear, timely communicationManage pipeline operations in AshbyMove candidates through stages in the ATSMaintain clean, accurate pipeline dataSend rejection emails promptly and professionallyEnsure scorecards and feedback are submitted on timeKeep hiring managers accountable to process timelinesOpen and manage job pipelinesCreate new job pipelines in AshbyBuild structured interview plans and stagesMaintain consistency in process setup across rolesSupport hiring managers with basic process questionsOffer & hiring executionDraft and issue offer letters (using approved templates)Coordinate offer approvals and documentationTrack signed offers and ensure proper filingDraft contractor agreements (as applicable)File onboarding tickets and ensure smooth handoff to People OpsCoordinate start dates and pre-start communicationSupport onboarding coordinationEnsure new hires receive clear communication prior to startTrack onboarding task completionSchedule kickoff meetings and 30/60/90-day check-insPerform hiring satisfaction calls/surveys with hiring managers to assess the level of satisfaction in all hires made.Maintain accurate records of new hires and start datesGrow into screening & candidate interactionAs you demonstrate strong judgment and process ownership, this role may grow to include:Resume pre-screening for entry-level rolesConducting initial screening callsPartnering with hiring managers on early-stage candidate evaluationWhat we’re looking for1–2 years of administrative, recruiting coordination, or operations experience (or strong internship/early-career exposure)Exceptional organizational skillsHigh attention to detailStrong written communication skillsComfort managing repetitive but critical tasks with consistencyExperience working in ATS systems (Ashby preferred but not required)Ability to manage multiple open roles and competing prioritiesYou might be a strong fit if you:Like being the operational backbone of a teamTake pride in clean systems and organized workflowsAre highly responsive and dependableWant to grow into a long-term recruiting careerAt Moxie, we believe in creating a workplace where everyone feels valued, trusted, and included.
