Project Coordinator - Commercial Interiors

Job Summary: We are seeking a highly organized and detail-oriented Customer Service Project Coordinator to join our team. This role plays a key part in ensuring smooth end-to-end order fulfillment by supporting sales, project management, and accounting teams. The successful candidate will be responsible for processing and tracking orders, coordinating with vendors, and maintaining clear communication with both internal teams and clients. This position requires strong communication and interpersonal skills, as it involves regular interaction with clients, manufacturers, and internal departments. The ideal candidate thrives in fast-paced environments, has excellent project management and organizational skills, and can effectively meet deadlines while managing multiple tasks. Key Responsibilities: • Process, track, and bill customer orders with accuracy and efficiency. • Assist in preparing product specifications, pricing research, and vendor discussions. • Submit and manage new customer and vendor forms for approval. • Support the development of client proposals as needed. • Verify and manage manufacturer orders, ensuring accuracy in details and specifications. • Utilize NetSuite or similar ERP software to manage order processing and documentation. • Work with Project Spec and Cap Worksheets (or similar tools) to create and review product specifications. • Follow up on order status, delivery schedules, and issue resolution to ensure smooth operations. • Maintain and update the order tracking system, providing regular reports. • Coordinate and confirm deliveries and installations with warehouses and client representatives. • Track warehouse receiving of products and ensure proper documentation. • Ensure client satisfaction by assisting with final approvals and addressing any concerns. • Process invoices and maintain well-organized project files. • Participate in team meetings and company initiatives. • Perform other related duties as assigned. Qualifications: • Excellent English communication skills – both verbal and written. • Strong interpersonal skills – ability to interact effectively with clients and internal teams. • Highly organized with strong project management skills – able to manage multiple tasks efficiently. • Tech-oriented and comfortable with technology – must quickly adapt to various software tools. • Experience with NetSuite or similar ERP software is required. • Basic understanding of Project Spec and familiarity with Cap Worksheets or similar tools. • Proficiency in Microsoft Office Suite (Excel, Word, Outlook). • Ability to meet deadlines and work efficiently under pressure. • Prior experience in end-to-end customer service, order processing, or a similar role is preferred. • Must have a personal PC/laptop and a stable internet connection (minimum 20 Mbps download & upload speed).
