Position Overview – Production Manager & Customer Service Representative
arenaflex is seeking a highly motivated professional who can seamlessly blend the strategic oversight of a Production Manager with the client‑focused finesse of a Customer Service Representative. This dual‑role is essential to our promise of delivering on‑time, on‑budget, and high‑quality printed solutions that exceed client expectations. You will be the central conduit between customers, sales teams, and our internal production departments, ensuring that every job moves smoothly from initial concept through final delivery.

Key Responsibilities

End‑to‑End Job Engineering: Translate customer requirements into actionable production plans, develop realistic timelines, and monitor progress to guarantee on‑schedule completion.
Customer Communication: Serve as the primary point of contact for clients throughout the production lifecycle, providing status updates, addressing concerns, and confirming final deliverables.
Cross‑Department Coordination: Liaise with sales representatives, pre‑press technicians, press operators, bindery staff, shipping coordinators, and mailing specialists to ensure clear, consistent information flow.
Specification Management: Accurately interpret purchase orders and design specifications, then convey detailed, unambiguous instructions to every relevant department.
Cost Control: Estimate production costs, track actual spend, and identify opportunities for cost‑saving without compromising quality.
Quality Assurance: Conduct regular checks at each production stage to verify adherence to color standards, press parameters, folding signatures, and mailing regulations.
Systems Administration: Utilize arenaflex’s integrated MIS platforms to generate quotes, track job progress, and produce performance reports.
Continuous Improvement: Identify bottlenecks, suggest workflow enhancements, and champion best‑practice initiatives across the facility.
Additional Duties: Participate in team meetings, train new staff on production protocols, and support special projects as directed by senior leadership.

Essential Qualifications & Experience

Minimum 5 years of hands‑on experience in commercial printing, preferably within a direct‑mail lettershop environment.
Demonstrated track record of managing multiple print jobs simultaneously while meeting tight deadlines.
Proficiency with MIS systems (e.g., arenaflex’s proprietary quoting and scheduling tools) and solid command of Microsoft Outlook and Excel.
Strong understanding of press operations, including offset and digital press parameters, ink coverage, and layout considerations.
Experience with variable data printing, mailing regulations, and postal standards.
Exceptional written and verbal communication skills, with the ability to articulate complex technical details to non‑technical stakeholders.
Highly organized, detail‑oriented, and comfortable juggling competing priorities.
Reliable, trustworthy, and capable of working both independently and as part of a collaborative team.

Preferred (But Not Required) Skills & Knowledge

Familiarity with graphic design software (Adobe InDesign, Illustrator) for basic layout review.
Experience with additional MIS platforms such as iQuote/ePS or Monarch (knowledge can be transferred to arenaflex’s system).
Understanding of Metrix or similar workflow automation tools.
Background in sales or account management, enhancing the customer‑service aspect of the role.
Certification or coursework in project management methodologies (e.g., PMP, Lean).

Core Competencies for Success

Customer‑Centric Mindset: Prioritize client satisfaction and anticipate needs before they become issues.
Analytical Thinking: Quickly assess production data, identify variances, and implement corrective actions.
Adaptability: Thrive in a dynamic environment where priorities can shift rapidly.
Leadership Presence: Guide cross‑functional teams, foster accountability, and inspire continuous improvement.
Technical Savvy: Stay current with emerging print technologies and industry standards.
