About the position Singleton Schreiber, LLP is seeking an experienced and highly organized Practice Group Administrator to support our Fire Practice Area. This role plays a critical part in managing complex, large-scale fire litigation and supporting case teams through all phases of litigation, from intake through trial, mediation, and resolution. The ideal candidate is proactive, detail-oriented, and thrives in a collaborative and fast-paced environment. This is a remote position open to candidates in Pacific or Mountain time zone. SALARY:$85,000-$100,000 annually Actual salaries will vary and will be based on various factors, such as location, skills, experience, and qualifications for the role. Responsibilities β€’ Provide direct administrative and operational support to a Partner within the Fire Practice Area, serving as a key point of coordination and support β€’ Provide analysis, guidance, and assessment of case needs, and recommend processes to case teams to achieve desired outcomes at trial, mediation, and/or settlement β€’ Support attorneys and leadership in managing large, complex fire litigation cases from inception through resolution. β€’ Track tasks, deadlines, and action items for the Partner and case teams to ensure matters and initiatives continue to progress efficiently β€’ Provide post-meeting follow-up, ensuring assigned tasks are completed and outstanding items are addressed in a timely manner. β€’ Coordinate the creation, editing, proofreading, and processing of legal documents, including correspondence, memoranda, pleadings, closing documents, and other practice-specific materials β€’ Maintain and update legal files both electronic and physical, as required. β€’ Manage day-to-day litigation support requests and coordinate technical resources, including internal teams and outside vendors β€’ Audit processes to ensure accuracy, organization, and compliance with internal procedures β€’ Receive and evaluate communications from clients, opposing counsel, and courts; field calls, emails, and correspondence and convey messages as necessary β€’ Consult with and support legal teams regarding budgeting, vendor management, document databases, productions, transcript management, and litigation-related technology solutions β€’ Anticipate needs, manage priorities, and proactively resolve issues on behalf of the Partner and practice group β€’ Stay current on rules of civil procedure in both state and federal courts, including CM/ECF filing/Pacer and arranging for service of pleadings and subpoenas. β€’ Identify, track, and manage case-related deadlines using an electronic calendaring system. Requirements β€’ Minimum of 5+ years of law firm experience preferred β€’ Experience managing cases from β€œcradle to grave,” particularly in mass tort, fire, or complex litigation β€’ Prior experience supporting senior attorneys or partners in an administrative or executive support capacity strongly preferred β€’ Strong organizational skills with exceptional attention to detail β€’ Excellent written and verbal communication skills with a professional demeanor β€’ Ability to manage multiple priorities, exercise sound judgment, and follow through independently β€’ Ability to recognize confidential, sensitive, and proprietary information and maintain strict confidentiality β€’ Strong computer proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), document management systems, and related office technologies β€’ Knowledge of applicable laws, legal codes, court procedures, and agency rules relevant to the assigned practice area β€’ Availability to support teams working in the Pacific and Mountain time zones Benefits β€’ 100% employer-paid health, dental, and vision insurance for employees and dependents β€’ $50,000 in life insurance provided at no cost β€’ 401(k) plan with 6% dollar-for-dollar employer match after probationary period β€’ Generous paid parental leave for birth, adoption, or fostering β€’ Dependent care reimbursement up to $3,500/month β€’ Healthcare and Dependent Care Flexible Spending Accounts (FSAs) β€’ Monthly commuter reimbursement up to $100 for public transportation β€’ Home office reimbursement: $150 for a desk, $150 for a chair (one-time) β€’ $25 work-from-home allowance each pay period for hybrid and remote staff β€’ Up to $5,250/year in tuition reimbursement for professional development β€’ State bar and approved professional association dues covered β€’ $30 Grubhub lunch credit every first Friday of the month β€’ Community engagement support: matching donations to 501(c)(3) nonprofits and encouragement of volunteer time
