Position Overview

The Pharmacy Customer Service Representative plays a crucial role in maintaining the smooth operation of our retail pharmacy while delivering outstanding customer service to every patient who walks through our doors. This position requires a unique blend of technical pharmacy knowledge, exceptional interpersonal skills, and a genuine passion for helping others. You'll be working directly under the supervision of licensed pharmacists, supporting them in various aspects of pharmacy practice while independently managing customer service responsibilities that keep our pharmacy running efficiently.

Key Responsibilities

Customer Experience Excellence


Greet and engage with all customers and patients in a warm, friendly, and professional manner, creating a welcoming atmosphere from the moment they enter the pharmacy
Actively listen to customer concerns and questions, providing thoughtful, accurate responses that address their needs completely
Resolve customer complaints and issues efficiently, ensuring each interaction leaves the patient satisfied and confident in our services
Share best practices for customer service excellence with team members, contributing to a culture of exceptional patient care across the entire pharmacy department
Demonstrate strong interpersonal habits including proper greeting, maintain appropriate eye contact, show courtesy at all times, and exhibit arenaflex service behaviors such as proactively offering assistance, identifying patient needs, and servicing until complete satisfaction


Pharmacy Operations Support


Register sales on assigned cash register, processing customer purchases accurately while providing courteous, friendly, and efficient checkout service
Collect payment from customers, distribute change correctly, and process voids, returns, rain checks, refunds, and exchanges as needed
Direct customers to appropriate aisles, particularly over-the-counter areas, to assist them in locating products they need
Maintain pharmacy counters and cabinets in a clean, organized, and well-merchandised condition
Perform regular inventory counts and maintain accurate records of pharmacy stock and supplies
Check in and price merchandise as required or as directed by the pharmacy manager or shift lead
Provide customer service in the photo area, including digital passport photo services, poster printing, and creative devices
Handle net pick-up responsibilities including monitoring orders, filling orders by picking items, and delivering orders to customers as they arrive at the store


Pharmacy Practice Support


Under the direct supervision of a pharmacist, assist in the practice of pharmacy in accordance with state and federal regulations
Utilize pharmacy systems to accurately obtain patient and drug information, ensuring data integrity and efficient prescription processing
Enter patient information into the pharmacy system efficiently and accurately, maintaining confidentiality and compliance with HIPAA regulations
Fill prescriptions by retrieving, counting, and pouring pharmaceutical medications with extreme accuracy and attention to detail
Verify medication accuracy and check for possible drug interactions before presenting prescriptions for pharmacist review
Assist pharmacists in scheduling and maintaining workflow to ensure efficient pharmacy operations
Report prescription errors to pharmacists immediately, adhering to company guidelines and procedures regarding pharmacy errors and quality improvement programs
Strictly adhere to arenaflex policies regarding appropriate faith dispensing across all relevant prescription dispensing activities
Handle phone calls that do not require the personal attention of the pharmacist, including physician inquiries and general questions
Process corrected and resubmitted manual claims for third-party prescription prescription services in a timely and efficient manner
Perform other clerical duties as assigned by the pharmacy manager


Inventory Management


Assist and support the pharmacy department in inventory management activities, including ordering, unpacking, checking, and storing pharmaceutical shipments
Maintain records of company asset protection strategies
Document claims for warehouse overages, shortages, order errors, or damaged goods related to prescription medications
Ensure compliance with state and local laws concerning regulated products, including alcoholic beverages and tobacco products
Assist with proper separation of food items and product placement as designated by company regulations and processes
For consumable items, assist in inventory rotation using the first in, first out (FIFO) method and restock outs


Store Maintenance and Team Collaboration


Construct and maintain pharmacy displays, including promotional, seasonal, and special event structures
Complete resets and revisions as directed by management
Assist with external and internal maintenance, ensuring clean, neat, and orderly store conditions
Comply with all arenaflex rules and procedures while maintaining respectful relationships with coworkers
Complete special assignments and other duties as assigned


Essential Qualifications


Language Proficiency: Must be fluent in reading, writing, and speaking English (except in Puerto Rico where additional language requirements may apply)
Availability: Requires willingness to work a flexible schedule, including evenings and weekend hours
Technical Skills: Must have working knowledge of store systems and equipment
Certification: Must obtain and maintain PTCB certification through the PTCB education program and/or state-required certification/registration


Preferred Qualifications


Previous experience in a retail pharmacy or customer service environment
Basic knowledge of pharmacy terminology and medication categories
Familiarity with pharmacy management software and POS systems
Understanding of insurance claims processing and third-party billing
Strong attention to detail and accuracy in handling prescriptions and transactions
Ability to work effectively in a team-oriented environment
Excellent organizational and time management skills
Physical ability to stand for extended periods and perform repetitive tasks
