The ideal candidate will provide exceptional customer service and assist with the administrative operations of the practice. This role is remote, offering flexibility, and will require a commitment of approximately 20-25 hours per week. Candidates based in the Raleigh-Durham, Cary, Chapel Hill area are preferred, as the position may include occasional hybrid training or in-office visits in the future. This is an excellent opportunity to join a new medical practice with the potential for growth.

Responsibilities:
• Answer multiple phone lines and respond to emails within a timely manner
• Communicate with current and prospective patients through email and phone
• Schedule patient visits and answer pre-visit questions
• Act as communication aid liaison between patients and healthcare providers by keeping the lines of communication flowing by properly taking messages and routing to the appropriate party within the practice
• Address and respond to patient requests and needs in a professional and timely manner to ensure patient satisfaction
• Ensure complete and accurate patient registration, which includes recording a patient’s health, demographic, and insurance information
• Manage patient accounts with contact information, insurance and financial information in a confidential manner
• Utilize electronic systems that include but are not limited to: EHR, fax, and multi-line phone system
• Work as a team player to ensure each patient receives the best service possible
• Assist in processing outgoing and incoming referrals
• Upload documents into patient charts
• Ensure compliance with professional standards while following practice guidelines, healthcare laws, and regulations
• Adheres to all HIPAA and confidentiality requirements
• Maintain professional demeanor and interface well with patients in a mental-health setting
• Assist with other administrative tasks as needed by your manager

Qualifications:
• Minimum high school diploma or equivalent
• Experience working front desk in medical office, administrative roles and/or customer service roles
• Medical office knowledge and/or experience
• Mental health knowledge and/or experience is highly preferred
• Insurance knowledge and/or experience is highly preferred
• Highly organized with a strong ability to manage different priorities while bringing tasks to completion
• Ability to work with others and use resources to problem solve
• Apply good judgement to fast-changing situations
• Strong customer service skills and exceptional phone presence are a must
• Effective verbal and written communication skills
• Effective collaborator and works well with a team of other caretakers
• Strong computer and data entry skills required
• Punctual, reliable and flexible
