Job Summary

The Lead Wellness Coordinator is a key member of our team, responsible for the smooth flow of clerical activity in the clinic practice. This role involves extensive utilization of the University's systems and constant interaction with students, health care providers, and other members of the wellness staff. The ideal candidate will possess a strong customer service orientation, a commitment to excellence and accuracy, and the ability to work in a fast-paced, multi-tasking environment.

Key Responsibilities


Supervise and train clerical staff, including participating in interviews, selection, and training of new employees
Assign daily work for clerical staff, hold staff accountable for satisfactory completion of work assignments, and coach performance to meet quality and productivity expectations
Determine the daily schedule, review office coverage and scheduling to ensure appropriate coverage, and assign lunches and breaks
Assess and monitor daily performance, set productivity expectations, evaluate annual performance, and initiate progressive disciplinary action as needed
Oversee regular, ongoing, daily quality control of assigned area(s) and provide daily feedback and coaching to clerical staff
Serve as point person for clerical staff on matters requiring escalation and assist in the resolution of patient, staff, and provider complaints
Assist in the development and communication of office policies and procedures and ensure clerical staff are aware of policy, protocol, and procedure
Work collaboratively with the clerical and administrative staff to ensure that all patient care activities are coordinated effectively
Prepare special reports and summaries, assist in managing daily operation of the office, and may assist in developing administrative goals and policies


Requirements and Qualifications

Essential Qualifications:


Minimum requirements include vocational training, apprenticeships, or the equivalent experience in a related field (not typically required to have a four-year degree)
Minimum requirements include knowledge and skills developed through 2-5 years of work experience in a related job discipline


Preferred Qualifications:


High school diploma or GED
Advanced training or experience with college-age or young adult populations
Minimum of 2-3 years of experience interacting with and scheduling patients
Minimum one year as a clinic coordinator
Advanced knowledge of scheduling applications and generally accepted scheduling practices
Preferable knowledge of the Point n Click system

The Lead Wellness Coordinator must possess:


Strong interpersonal skills and the ability to handle a wide variety of public contacts, including conflicts, with patience, tact, courtesy, and discretion
The ability to organize a demanding workload and train new coordinators
The ability to enter and retrieve data accurately and quickly, check work, and resolve mistakes
High degree of initiative and problem-solving skills
The ability to determine priorities and exercise good judgment and make independent decisions
Demonstrated flexibility and the ability to function independently and as a team member
The ability to work in a fast-paced environment

Compensation, Perks, and Benefits

The pay range for this role is $24.00 - $26.00 per hour. We offer a comprehensive benefits package, including health, retirement, and paid time off.
