About the Role

Under the direct supervision of the Program Manager, provides phone and clerical services for AUW-211.

Essential Duties and Responsibilities
• Answer incoming calls and provides information and referrals to the appropriate providers.
• Completes data entry of caller log screens which record clients’ requests, referrals made and unmet services requested.
• Administers quality assurance checks by performing client follow-up, with a sample of callers, to ensure clients receive appropriate services that are effective. Offer additional assistance, if necessary.
• Deliver feedback to the Program Manager and/or VP of Community Impact, which can include recommendation for addition or deletion of services identified in the referral process
• Supports a positive team environment through active participation in team-related activities.

Other Functions
• Occasionally assists with campaign functions. • Performs data entry on updates and new resources.
• Occasionally assists with bulk mailings, telephone outreach for program projects.
• Performs other duties as assigned.

Requirements for the Role

Graduation from high school or GED.

Previous working experience in customer service, or with telephones and/or computers helpful.

Previous working experience in nonprofit helpful but not required.

Previous working experience in a team environment desired with strong communication and interpersonal skills.

Must be able to handle difficult phone calls, including from community members in crisis, with empathy, confidentiality, and care.

Experience highly valued in working with high volumes of customer or client requests, or with clients in stressful situations.

Job Conditions:

Working Conditions: AUW’s office environment requires the ability to effectively plan and meet short deadlines and changing conditions. Strong staff collaboration in work assignments is a standard at AUW. Use of own car to attend early morning and/or evening meetings with volunteers and organizations off location.

Equipment Use: Frequent use of personal computer with printer, automated phone system with phone messaging, filing cabinets, and other office supplies/equipment. Occasional use of copy machine, FAX machine, and hand truck.

Daily/Hours of Work: Monday - Friday 8:00 a.m. - 5:00 p.m. Overtime may be required on an as-needed basis, as approved by immediate supervisor.

Operational Demands: Duties require planning, analyzing and performing a variety of activities by applying a wide range of procedures and rules.

Duties require attention to detail, accuracy, reliability, alertness and use of judgment. Reading comprehension needed for keeping abreast on community affairs and industry trends.

Also requires writing ability, creativity and concentration. Mathematical ability required for statistical reports and setting campaign goals. Works with confidential data where disclosure may adversely affect the organization. Must possess a solid sense of confidentiality and discretion.

Physical Demands: Frequent to continuous sitting. Able to reach, stoop and lift minimum 25 lbs when accessing materials from storage and transporting. Frequent handling and filing and retrieve information via files and computer. Must be able to visually check for completion and accuracy, and to retrieve and transmit information.

Communication Demands: Requires extensive communication with staff, between AUW departments, and with AUW clients, vendors and contractors. Frequent communication with individuals/organizations at all levels outside AUW supplying or seeking information and materials. Frequent composition of appropriate written materials. Able to speak in public and present information when training. Requires the use of courtesy, tact and discretion to obtain cooperation
