About the Role
We are seeking an ambitious and customer-focused Phone Operator and Customer Service Representative to join our team. As a key member of our support staff, you will play a crucial role in delivering exceptional patient service, promoting our medical and aesthetic services, and driving growth. Your primary responsibilities will include answering incoming calls, scheduling appointments, and providing guidance on our range of medical and aesthetic procedures, skin care products, and services.
Key Responsibilities
Answer incoming aesthetic/cosmetic and medical calls from current and new patients, confidently and pleasantly answering inquiries and giving guidance on our medical and aesthetic procedures, skin care products, and services.
Schedule patient appointments in our system, ensuring timely and efficient service.
Read and analyze patient records, maintaining confidentiality and adhering to HIPAA and practice-specific compliance guidelines.
Develop a thorough understanding of medical and cosmetic terminology, as well as each cosmetic procedure, to effectively communicate with patients.
Credential eight providers, ensuring accurate and up-to-date information.
Articulate limited discussion of cosmetic services and skin care products with prospective patients over the phone, encouraging them to schedule an appointment for a more in-depth customized evaluation.
Discuss fees and financial obligations with patients upon scheduling, ensuring transparency and clarity.
Retain deposits upon cancellations within policy parameters, maintaining a high level of customer satisfaction.
Maintain a professional appearance, adhering to our practice's standards and guidelines.
Have full knowledge of products and services, effectively communicating the value of each service and product to patients.
Confidently present treatment plans and financial obligations to patients, ensuring a seamless and informed experience.
Attend all in-house training and commit to continued education, staying up-to-date on the latest advancements in dermatology and aesthetics.

Secondary Responsibilities
Provide high-quality medical and aesthetic customer service at the checkout desk weekly, achieving and maintaining proficiency in this role.
Qualifications
Experience working in a medical or day spa, dermatology practice, or cosmetic retail environment.
Proven phone skills, customer service, and sales experience, with a strong interest in the skin care, beauty, and wellness industries.
Demonstrated computer literacy, including the use of office EMR systems.
High school diploma required; higher education preferred.
