Job Summary
We're seeking a highly organized, detail-oriented, and compassionate Administrative Assistant to join our team. As a key member of our support staff, you'll play a vital role in ensuring the smooth operation of our practice. Key Responsibilities
As our ideal candidate, you'll be responsible for:
Managing new client chart set-ups in our Electronic Health Record (EHR) system
Verifying insurance benefits and communicating them to clients in a clear and concise manner
Tracking and following up on incomplete client paperwork and documents
Securing insurance pre-authorizations for all requested services
Providing exceptional support to clients and clinical staff throughout their time at Affinity
Serving as a warm, approachable, and knowledgeable voice of the practice in all client communications
Utilizing digital and electronic software for all office tasks
Identifying opportunities for improvement and implementing changes to enhance our processes
Communicating effectively with administrative team members to ensure seamless collaboration
Completing other tasks as needed to support the success of our practice
Possible Job Duties
While we're open to tailoring your role to your strengths and interests, some possible duties may include:
Document and spreadsheet creation, such as letters, illustrations, infographics, and information sheets
Event planning, including research, planning, tracking, and managing all correspondence for professional and casual events
Referral management, including creating and maintaining a referral database and nurturing relationships with referral partners
Projects, such as those assigned by our Founder or Practice Manager
Administrative backup, providing support when team members are away or overwhelmed
In-office support at one of our multiple office locations (as needed)
Qualifications and Requirements
To be successful in this role, you'll need:
1 year of experience in a healthcare setting
Strong organizational and time management skills
Excellent communication and interpersonal skills
Ability to maintain confidentiality and handle sensitive information
Proficiency in digital and electronic software, including our EHR system
Flexibility and adaptability in a fast-paced environment
High school diploma or equivalent required; associate's or bachelor's degree preferred
Preferred Qualifications
While not required, we're particularly interested in candidates with:
Experience working in a mental health setting
Knowledge of HIPAA regulations and compliance
Proficiency in Microsoft Office and Google Suite
Experience with event planning and coordination
Strong analytical and problem-solving skills
