Pay: $22/hour + bonus opportunities

Position Summary
The Staffing Coordinator is responsible for the day-to-day coordination of healthcare staffing operations, serving as the primary point of contact between healthcare professionals and client facilities. This role ensures adequate shift coverage, manages scheduling logistics, maintains compliance documentation, and supports smooth operational workflow across multiple technology platforms. The Staffing Coordinator may also assist with recruiting activities when open positions need to be filled, though coordination and scheduling are the primary focus of the role.
Essential Duties & Responsibilities
Staffing Coordination (Primary ~75%)
• Shift Scheduling & Coverage: Coordinate daily, weekly, and weekend shift assignments for healthcare professionals across multiple client facilities. Proactively identify and fill open shifts to minimize gaps in coverage.
• Client Communication: Serve as the day-to-day liaison with client facilities, responding to staffing requests, confirming shift assignments, and resolving scheduling conflicts in a timely manner.
• Healthcare Professional Communication: Maintain regular contact with active HCAs (Healthcare Associates) regarding shift availability, schedule changes, and assignment details via phone, email, and text.
• Scheduling Logistics: Manage call-offs, no-shows, late arrivals, and last-minute shift changes. Coordinate replacement coverage and communicate changes to all affected parties.
• Data Entry & Documentation: Maintain accurate records in the applicant tracking system (including shift confirmations, candidate availability, client preferences, and placement notes.)
• Compliance Tracking: Monitor credential expirations (licenses, certifications, competency tests) for active HCAs and coordinate with the credentialing team to ensure all professionals remain in compliance before and during assignments.
Recruiting Support (Secondary ~25%)
• Candidate Outreach: When open positions need to be filled, assist with recruiting activities including reviewing applications in ATS, conducting initial phone screens, and reaching out to candidates in the pipeline.
• Job Posting Assistance: Help post open positions on job boards (Indeed and others) using established templates and job descriptions.
• Pipeline Management: Update candidate statuses in ATS and ensure candidates are moved through the workflow appropriately.
• Candidate Communication: Conduct follow-up outreach to pipeline candidates and cold leads when staffing needs increase, using the established outreach framework.
Qualifications
Required
• Education: High school diploma or equivalent required; Associate's or Bachelor's degree in Healthcare Administration, Business, Human Resources, or related field preferred.
• Experience: Minimum 1–2 years of experience in healthcare staffing coordination, account management, or a related administrative role within a healthcare staffing agency environment.
• Technology Proficiency: Comfortable learning and using multiple software platforms simultaneously. Experience with applicant tracking systems (ATS), scheduling tools, or CRM software is strongly preferred.
• Communication Skills: Excellent verbal and written communication skills. Must be comfortable making high-volume phone calls and sending professional text/email communications throughout the day.
• Organizational Skills: Strong ability to multitask, prioritize, and manage competing deadlines in a fast-paced environment. Exceptional attention to detail.
• Problem-Solving: Ability to think quickly and resolve scheduling conflicts, staffing emergencies, and last-minute changes with composure.
• Availability: Must be available during normal business hours 8am - 5pm Eastern Standard Time. (Ideally located in the same time zone.)
Preferred
• Prior experience in healthcare staffing, medical staffing agencies, or healthcare facility account management.
• Knowledge of healthcare disciplines (RN, LPN, CNA, allied health) and clinical credential requirements.
• Understanding of Joint Commission accreditation standards and healthcare compliance.
What Success Looks Like
• Shift Fill Rate: Consistently high percentage of client-requested shifts filled on time.
• Response Time: Rapid turnaround on client staffing requests and HCA scheduling inquiries.
• Compliance: Zero lapsed credentials for active, placed HCAs.
• Data Accuracy: Clean, up-to-date records with minimal errors.
• Client Satisfaction: Positive feedback from client facilities regarding responsiveness and reliability.
• Team Collaboration: Effective working relationship with recruiters, credentialing team, and branch leadership.
Work Environment & Physical Requirements
• Remote position with standard business hours; occasional extended hours during high-demand periods.
• High-volume phone and computer work throughout the day.
• Fast-paced environment requiring the ability to manage multiple priorities simultaneously.
