GoHighLevel CRM Specialist — Hair Restoration Clinics (White-Label, Long-Term)

Castle 7 Group is a patient acquisition agency serving hair restoration clinics exclusively. We build PE-ready marketing systems that take clinics from scattered ad spend to documented, scalable patient pipelines. We need one GoHighLevel specialist to become our permanent backend operator. You will never speak to our clients. All communication runs through me. Your job is to build clean, fast, reliable systems that make Castle 7 look exceptional. What you'll build: Contract 1 — Master Template Build ($500 fixed): One complete GHL sub-account configured for a hair restoration clinic. This becomes the template we clone for every future client. Deliverables: • Pipeline: New Lead → Consult Scheduled → Consult Attended → Surgery Booked → Surgery Completed • Email automation sequences: new lead welcome, pre-consult nurture, post-consult follow-up, no-show recovery, pre-op, post-op, reactivation • SMS automation: lead notification to staff, appointment reminders, no-show recovery • Workflow logic: if no staff contact within 5 minutes, trigger automated follow-up; if consult booked, pause sales sequences; if no-show, launch recovery sequence • Integrations: Twilio call tracking, Google Calendar 2-way sync, Facebook Lead Ads • Lead source tagging and UTM capture on all entry points • Pipeline stage naming locked to Castle 7 standard (not customized per clinic) • Full documentation: workflow map, tag legend, pipeline logic, Loom walkthrough Contract 2 — Ongoing Per-Client Management (hourly, 8hr cap/month per client): • Clone and customize sub-account for each new clinic (branding, sequences, phone numbers) • Monthly workflow review and optimization • Integration troubleshooting • Performance monitoring: lead response time, stage conversion rates Stack: GoHighLevel is the primary platform. Third-party integrations (Twilio, Google Calendar, Facebook Lead Ads) are expected. Propose your integration method in your application — native GHL connectors preferred, external tools only where GHL has no native solution. You will work alongside: • Media buyer (Google + Meta) who drives leads into the pipeline • Landing page builder whose forms feed directly into GHL • AI voice bot specialist whose system integrates with GHL calendar and pipeline • Copywriter who writes the email/SMS sequences you configure Knowing how these systems connect is required. You don't need to build them all, but you must understand every handoff. Requirements: • GoHighLevel certified or demonstrated equivalent experience (show setups, not claims) • Healthcare or medical practice CRM experience • Complex workflow automation (conditional logic, multi-branch triggers) • Twilio and calendar integration experience • Lead response workflows — sub-5-minute architecture required • White-label mindset — no direct client contact, ever • Fast communication — same-day responses during business hours Not a fit if: • You want to work directly with clients • You prefer suggesting alternative platforms over mastering GHL • You build and disappear — this role requires ongoing monthly ownership
