Our Adult Detox and Crisis Recovery Unit is a non-medical 14-bed facility that provides a safe and supportive environment for individuals to detox from alcohol or other drugs. As a key member of our team, you will play a vital role in ensuring the smooth operation of our facility and providing administrative support to our staff. **Job Summary:** We are seeking a highly skilled and experienced Part-Time Administrative Support Specialist – Data Entry & Operations (Remote) to join our team. As a key member of our administrative team, you will provide administrative support to our Adult Detox and Crisis Recovery Unit, including data entry, accounting, and administrative tasks. You will work closely with our staff to ensure the efficient operation of our facility and provide exceptional support to our clients. **Key Responsibilities:** As a Part-Time Administrative Support Specialist – Data Entry & Operations (Remote), you will be responsible for the following key tasks: * **Data Entry & Accounting:** Use spreadsheets or databases to organize information and produce standard reports; prepare a variety of complex disbursement forms (e.g., check requests, travel forms, cash sheets, and journal entries) for routing and approval; compile and maintain reports and financial statements; reconcile ledgers; gather data for use by others in preparing budget; prepare a wide variety of accounting forms; reconcile daily receipts or accounts receivable/payable; identify discrepancies and make corrections; collect required documents; prepare expense vouchers and/or invoices. * **Administrative Support:** Greet visitors; maintain and administer appropriate safety procedures in secured environments; set up accounts; train new employees; provide and explain relevant policies and procedures; compose routine correspondence on behalf of management; schedule and cancel appointments; maintain calendars; schedule rooms for classes, meetings, and conferences; coordinate audio visual and training equipment; type complex documents of a technical nature; proofread for spelling and grammar; use multiple software applications to prepare information. * **Payroll Processing:** Verify timesheets; research and provide resolution to payroll discrepancies; complete and verify data entry; distribute paychecks; provide information and answer questions from staff regarding payroll issues; maintain attendance and leave tracking records; act as department/agency/functional resource in data management systems, and provide training to new users; coordinate Family and Medical Leave according to policies, procedures, and guidelines. **Essential Qualifications:** * High school diploma or equivalent * Two years of administrative support experience * Associate's Degree in Business Administration or related field (preferred) * Experience can substitute for education; education can substitute for experience **Preferred Qualifications:** * Experience working in a fast-paced environment * Experience working with a variety of software applications * Experience with data entry and accounting software * Experience with payroll processing and management **Skills & Competencies:** * Excellent organizational and time management skills * Strong attention to detail and accuracy * Excellent communication and interpersonal skills * Ability to work independently and as part of a team * Ability to maintain confidentiality and handle sensitive information * Proficiency in Microsoft Office and other software applications * Ability to learn and adapt to new software and systems **Career Growth Opportunities & Learning Benefits:** At blithequark, we are committed to providing our employees with opportunities for growth and development.
