Job Overview: Executive Assistant As an Executive Assistant at blithequark, you'll play a vital role in ensuring the smooth operation of our office workflow. Your primary responsibility will be to provide administrative support to our business land improvement group, enabling us to deliver outstanding client service and achieve our business objectives. Key Responsibilities: Maintain a productive office workflow that supports client service goals and operational policies. Establish, maintain, and enforce effective processes and management systems to ensure the association achieves its objectives. Support client service requests and escalate issues to the appropriate property management staff as needed. Log and dispatch all service requests in our work order system, ensuring timely and efficient resolution. Follow up with clients and stakeholders to guarantee service requests are completed to their satisfaction. Assist with accurate and timely payroll submission for field specialists. Prepare routine reports to review expiration dates of critical documents, such as COIs, vehicle registrations, and vendor contracts. Maintain up-to-date fleet insurance and registrations. Coordinate client move-in/move-out details to ensure compliance under lease terms. Participate in rent cycle management activities, including preparing occupants for ownership and coordinating HOA/Townhouse communications. Essential Qualifications: Bachelor's degree from a recognized institution. At least 3 years of administrative experience, preferably in a related field. Proficient in Microsoft Suite and other computer systems. Excellent communication and interpersonal skills. Ability to work independently and as part of a team. Preferred Qualifications: Office management experience. Knowledge of property management principles and practices. Familiarity with industry-specific software and systems.
