We are seeking an experienced and highly skilled Customer Service Representative to join our team, working remotely from the Pacific Time Zone. Scope of Responsibilities In this role, you will be the primary inside contact for arenaflex's customers, taking ownership of fulfillment activities, standard product recommendations, pricing, and information-related complaints. You will proactively interact with customers, technical service, sales, distribution centers, manufacturing, purchasing, and credit on a daily basis to provide quick responses and resolve issues efficiently. Your goal will be to maintain and grow business at existing and new arenaflex accounts, ensuring that our customers receive the best possible service and support. Essential Functions Respond to customer inquiries received by phone, email, and fax, documenting all interactions in Salesforce. Handle inquiries from sales, telesales, and distribution centers, providing timely and accurate responses. Recommend, quote, sample, and sell VBS products, ensuring that customers receive the best possible solutions for their needs. Document opportunities where VBS products do not meet customer requirements, validating the economic sense of pursuing custom constructions and transferring customers to the arenaflex technical community for further discussion. Manage all aspects of order fulfillment, from receipt of order to delivery and invoicing, ensuring that orders are processed accurately and efficiently. Enter new orders, verifying accuracy against documented procedures, and process order changes and cancellations as needed. Recommend alternative product constructions if required, and monitor open work orders, expediting as needed to ensure timely delivery. Proactively notify customers of late or problem orders, offering VBS product alternatives to assist with their needs. Resolve customer-specific freight and logistics issues, consulting with the arenaflex Shipping Department as necessary. Utilize the E-price tool to support customer inquiries, including VBS product recommendations, price quotes, price discounting, application sheets, product sampling, and trial orders. Resolve information-related customer complaints, implementing corrective action and confirming resolution with customers via established arenaflex guidelines. Handle complaints for pricing mistakes, order entry errors, and customer accommodations, ensuring that issues are resolved efficiently and effectively. Proactively engage with assigned accounts, initiating phone and/or email contact to better understand business applications and uncover missed opportunities. Assist with order entry overflow for repeat orders and standard price quotations overflow, ensuring that customers receive timely and accurate support. Contribute to Customer Service Improvement Teams as required, sharing knowledge and expertise to drive continuous improvement. Cross-train new employees when appropriate, ensuring that the team has the skills and knowledge needed to deliver exceptional customer service. Requirements To be successful in this role, you will need: A Bachelor's degree or equivalent business experience, demonstrating a strong foundation in customer service and business principles. 1-3 years of previous customer service experience, preferably in a manufacturing environment, with experience using an ERP system highly desirable. Excellent customer service skills, with the ability to communicate effectively with customers, colleagues, and other stakeholders. Strong verbal and written communication skills, with the ability to articulate complex information in a clear and concise manner. Ability to learn quickly, with a strong aptitude for troubleshooting and problem-solving. Ability to work under pressure, with a collaborative team spirit and adaptability in a fast-paced environment. Proficiency in Microsoft Office Suite, including Excel, with experience using Salesforce.com a plus. Physical and Cognitive Requirements This role requires: Repetitive movement of hands and fingers, typing and/or writing, with occasional standing, walking, stooping, kneeling, or crouching. Reach with hands and arms, with the ability to talk and hear, and work in a home/office environment. Support for the Western US Region Territory, with Pacific Time Zone hours required, and limited travel for industry education.
