Your responsibilities will include: * **Organizing Office Operations**: Assist in organizing office procedures and processes to optimize efficiency and productivity. * **Communication Management**: Sort and distribute communications in a timely manner, ensuring accuracy and validity of information. * **Record Keeping**: Create and update records, ensuring accuracy and validity of information. * **Scheduling and Planning**: Schedule and plan meetings and appointments, ensuring seamless coordination with other departments. * **Supply Management**: Monitor the level of supplies and handle shortages, ensuring minimal disruption to operations. * **Troubleshooting**: Resolve office-related malfunctions and respond to requests or issues in a timely and professional manner. * **Interdepartmental Coordination**: Coordinate with other departments to ensure compliance with established policies and procedures. * **Relationship Building**: Maintain trusting relationships with suppliers, customers, and colleagues, ensuring excellent customer service and support. * **Receptionist Duties**: Perform receptionist duties as needed, providing a warm and welcoming experience for customers and visitors. **Preferred Skills** We're looking for a highly skilled and experienced professional with: * **Proven Experience**: Proven experience as a back-office assistant, office assistant, or in another relevant administrative role. * **Technical Skills**: Knowledge of "back-office" computer systems, working knowledge of office equipment, and proficiency in MS Office, QuickBooks, and Excel. * **Analytical Abilities**: Excellent analytical abilities and aptitude in problem-solving, with a strong attention to detail and discretion. * **Communication Skills**: Excellent written and verbal communication skills, with the ability to communicate effectively with colleagues, customers, and suppliers. * **Organizational Skills**: Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously. **Essential Qualifications** * **Valid Driver's License**: A valid driver's license and dependable transportation are required for this role. * **High School Diploma**: A high school diploma or equivalent is required. * **Administrative Experience**: At least 2 years of experience in an administrative role, preferably in a fast-paced office environment. **How to Apply** If you're a motivated and organized professional with a passion for delivering exceptional customer service, we invite you to apply for this exciting opportunity.
