About the Role This position is a member of the Airport Stations Group within the Customer Experience Division at blithequark. As a Staff Assistant, you will be responsible for performing a wide variety of office duties, including organizing meeting schedules, writing, filing, ensuring phone coverage, welcoming and coordinating clients, managing mail, ordering and distributing office supplies, reconciling P-card expenses, tracking anniversaries/birthdays, and arranging travel and hotel accommodations. Key Responsibilities Provides assistance with planning of executive presentations and special events as required Controls, reviews, and monitors all local invoices through InvoiceWorks and distributes as necessary Investigates and escalates office technology issues, including phone and copier machines Tracks and ensures employees complete onboarding tasks, including appropriate system access, assignment of lockers, mailboxes, uniforms, badges, fingerprinting, training, etc. Assists in station event planning, coordination, and execution (e.g., Do Team, lunch meetings, holiday parties, recognition events) Handles payroll processing in Workbrain for management and care staff Processes termination letters and coordinates local communications and response Manages employee parking, including permitting and assignments, as required Assists with timekeeping functions, data entry, data verification, reconciliations, and recording Maintains employee records, as needed Maintains Station meeting schedules, including monthly emergency response Accesses and manages various periodic reports, including performance, audit, cost, employee engagement, and recognition, etc. Updates required manuals, files, and maintains all safety-related items Serves as a backup for various payroll functions Manages records for OSHA, safety, etc. (301's, weekly and annual) Assists with budget preparation and reconciliation, including monthly closeout of landing fees Supports auditing activities as required Tracks and verifies incentive funds earned Liaises with CRE/Offices and vendors to follow local programs, as applicable Leads/coordinates work with other care staff, as applicable Performs other duties as required Requirements for Success To be successful in this role, you will need: Essential Qualifications Bachelor's Degree Past office/administrative experience Preferred Qualifications N/A Skills, Licenses, and Certifications Knowledge of Microsoft Office, including Word, Excel, PowerPoint, Outlook, etc. Knowledge of policies, procedures, and corporate design Ability to focus on work, be detail-oriented, and meet deadlines Ability to work in a high-speed environment and handle multiple tasks simultaneously Ability to be self-motivated with strong organizational skills Ability to understand concepts and functionality of specific software and programs What You'll Get At blithequark, we offer a comprehensive benefits package, including: Medical benefits: access to health, dental, prescription, and vision benefits from day one Wellness programs: tools, resources, and support to help you be your best self 401(k) program: available upon enrollment, with employer contributions available after one year Additional benefits: Employee Assistance Program, pet insurance, discounts on hotels, cars, cruises, and more Diversity and Inclusion at blithequark From the colleagues we hire to the customers we serve, diversity and inclusion are the foundation of the powerful workforce at blithequark.
