Job Summary As an Administrative Data Entry Clerk at blithequark, you will play a critical role in ensuring the smooth operation of our administrative functions. You will be responsible for accurately and efficiently processing data, managing customer shipments, preparing invoices, and performing various administrative tasks. Key Responsibilities Customer Shipment Management: Settle customer shipments and assist in preparing monthly claims, ensuring accuracy and timeliness. Invoicing and Billing: Create invoices and bills in QuickBooks, maintaining accurate financial records. Customer Log Verification: Verify customer logs to ensure data accuracy and identify any discrepancies. Filing System Maintenance: Maintain electronic and paper filing systems, ensuring easy access and retrieval of documents. Communication: Communicate effectively with customers and operation groups regarding shipment report discrepancies and resolve issues promptly. Administrative Support: Provide support with other administrative tasks, including answering phone calls, greeting visitors, preparing payroll times, and performing other office-related assignments. Essential Qualifications Education: High school diploma with some college education and/or 1+ year of office work experience. Technical Skills: Proficient in MS Office (Excel, Word, PowerPoint, Outlook, SharePoint) and good working knowledge of QuickBooks. Communication Skills: Excellent oral and written communication skills. Organizational Skills: Highly organized and detail-oriented, with the ability to multi-task and prioritize projects to meet deadlines. Teamwork: Ability to work independently and as a team member in a dynamic work environment. Preferred Qualifications Accounting Knowledge: Some accounting knowledge or work experience. QuickBooks Expertise: Advanced knowledge of QuickBooks and experience with financial software.
