About the position This role combines high-level strategic oversight with hands-on operational execution, providing critical support to executive leadership and organizational initiatives. As an Executive Operations Manager, you will act as a key liaison with the Board of Directors, manage complex projects, and ensure seamless operational workflows across the organization. You will balance governance, administrative, and logistical responsibilities while driving process improvements and operational efficiencies. Responsibilities • Serve as the primary administrative and logistical liaison to the Board of Directors and its Committees, ensuring timely communication and effective engagement. • Manage the full lifecycle of Board activities, including committee coordination, agenda preparation, pre-read materials, minute-taking, and follow-up on action items. • Oversee operational and administrative processes to support executive priorities, including project management, workflow optimization, and process improvement initiatives. • Facilitate collaboration across senior leadership, ensuring alignment on strategic and operational projects. • Prepare materials, presentations, and communications for Board and executive-level meetings, ensuring clarity, accuracy, and professionalism. • Coordinate logistics for virtual and in-person meetings, including travel, vendors, and meeting space setup. • Maintain centralized organizational records, governance documents, and compliance-related materials. • Handle sensitive and confidential matters with discretion, integrity, and professionalism. Requirements • Minimum of 5 years of experience in executive support, operations, or governance roles, preferably within non-profits, foundations, or complex organizational structures. • Strong project management and coordination skills, with the ability to lead cross-functional strategic initiatives. • Proven experience managing confidential information and exercising discretion at senior levels. • Exceptional written and verbal communication skills, including drafting agendas, pre-read materials, and executive-level documents. • Excellent stakeholder management and influence, with the ability to drive collaboration and accountability across leadership teams. • Superior organizational, logistical, and multitasking abilities, with attention to detail and accuracy in all deliverables. • Proactive problem-solving and innovative thinking, with the ability to anticipate operational challenges and develop scalable solutions. • Ability to work independently while fostering effective collaboration across teams. • High proficiency in English and strong interpersonal skills for internal and external engagement.
