About the Role
Our client is seeking a highly organized and proactive Executive Assistant to support a lean team of three executives, including the Chief of Staff and COO. This role involves attending daily huddles, managing administrative tasks, and ensuring smooth day-to-day operations.
The team includes professionals across different regions, with existing members in the Philippines, such as a Digital Marketer and Graphic Designer. To align with the teamβs workflow, candidates should be fluent in English and comfortable working within the required time zones.
Responsibilities
β’ Manage multiple projects and priorities simultaneously.
β’ Maintain and organize executive calendars, schedule appointments, and set up meetings.
β’ Draft, edit, and proofread communications, including emails.
β’ Oversee and manage email inboxes.
β’ Coordinate meetings, send reminders, and prepare relevant materials.
β’ Provide administrative support to executives and team members as needed.
β’ Ensure strong client/customer support with a service-oriented approach.
β’ Utilize advanced computer skills to optimize administrative processes.
β’ Maintain a proactive, can-do attitude in handling tasks.
β’ Perform additional duties as required.
Ideal Candidate Profile
β’ 8-10+ years of experience in executive support, administration, or a similar role.
β’ Excellent verbal and written English communication skills.
β’ Strong attention to detail, with exceptional proofreading and editing abilities.
β’ Strong time management skills and the ability to meet deadlines efficiently.
β’ Experience using CRMs and project management tools.
β’ Comfortable with digital tools such as Microsoft Office, Canva, and ChatGPT.
β’ Prior experience in a growing small business or nonprofit is a plus.
