Are you an Executive Assistant with excellent communication skills and a passion for supporting a growing team? If so, we have the perfect opportunity for you! If you’re passionate about managing email inboxes and are very detail-oriented, we have an opening for a client seeking permanent long-term administrative support to join their dynamic financial services company. They have a thriving podcast and Youtube channel dedicated to helping people with improving their finances.

Schedule: 10-20 hours per week -1099 contract role (if you would like more hours, we can partner you with more than one of our clients for additional hours per week)

We are seeking an organized, detail-oriented, proactive Executive Administrative Assistant. The ideal candidate will be a resourceful problem-solver with excellent communication skills, who can handle various tasks with ease and efficiency. The Executive Assistant will support and protect the time of the CEO managing various administrative tasks including email inbox management, calendar scheduling, data entry, gift purchasing, paying bills, etc.

Key Responsibilities:
• Setup email inbox management system that will be used for you and the CEO, we need an efficient smooth process for managing and triaging incoming emails.
• Respond to emails and phone calls promptly and professionally, ensuring effective communication between company stakeholders, clients, and team members.
• Schedule and coordinate meetings, appointments, and conferences, considering the availability of participants and resources.
• Arrange travel and accommodations for team members, ensuring itineraries are organized and cost-effective.
• Organize and coordinate calendars, ensuring they know about upcoming deadlines, events, and appointments.
• Other administrative tasks as requested.

Qualifications:
• High school diploma or equivalent; bachelor's degree is a huge plus
• Proven experience as an administrative / executive assistant, secretary, or in a similar role
• Experience working remotely
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office management tools
• Proficient with managing email inboxes for busy executives
• Excellent written and verbal communication skills
• Strong organizational and time management skills with the ability to multitask
• Attention to detail and problem-solving abilities
• Ability to work independently and as part of a team
• Discretion and confidentiality when handling sensitive information
