Event Coordinator
Ally Global Foundation is dedicated to protecting childhood from exploitation and trafficking. The Event Coordinator will be responsible for planning and executing signature fundraising and community events, ensuring a seamless guest experience while supporting the organization's mission.ResponsibilitiesCoordinating event logistics including venues, vendors, rentals, catering, transportation, registration, signage, and production needsDeveloping event timelines, production schedules, post-event materials, and run-of-show documentationManaging event-day execution and troubleshooting operational challenges in real timeCoordinating event materials including signage, swag, guest materials, and collateralEnsuring a high-quality and welcoming guest experience across all eventsServe as the primary point of contact for vendors, venues, contractors, volunteers and event-related partnersSupporting outreach and coordination for in-kind and financial event sponsorshipsTracking sponsor contributions and ensuring proper recognition and fulfillment of sponsor benefitsCoordinating communication and logistics with external partners leading up to eventsSupport budgeting, invoice tracking, purchase orders, and expense reconciliation for eventsTrack event deliverables and deadlines to ensure all milestones are metCoordinate event registration systems, guest lists, seating plans, and attendee communicationsLead post-event evaluations, gather feedback, and identify opportunities for improvementWork closely with internal teams to align event logistics with fundraising, marketing, sponsorship, and program goalsCollaborate openly, give and receive feedback constructively, and support a positive, team-oriented creative environmentContribute to additional special projects and community events as neededHelp design and execute events that are mission-driven, intentional, and aligned with Ally’s values and visionUse events as an opportunity to communicate complex and sensitive topics with care, dignity, and impact, while inviting guests into hopeful actionBring passion and intentionality to creative and guest-facing work, ensuring all event elements reflect Ally’s voice, values, and desired experienceApproach event planning and execution with empathy, thoughtfulness, and a strong sense of responsibility to participants, partners, and the broader communitySkillsExperience in event coordination, event planning, golf tournaments, nonprofit events, hospitality, or a related fieldProven ability to manage multiple projects and deadlines simultaneouslyAbility to remain flexible, professional, and solutions-oriented in fast-paced environmentsStrong organizational skills and exceptional attention to detailExperience working with vendors, venues, and external partnersAbility to work evenings and weekends as required by event schedulesAbility to collaborate well with others and contribute positively to a creative team culturePassion for curating intentional events and a desire to use creative skills in service of Ally's mission and visionProficiency with Google Workspace; experience with event registration platforms, CRM systems, Canva or project management tools is a plusComfort designing for digital-first platforms and adapting work for different channelsValid Class 5 Driver's License issued in British Columbia requiredBenefitsRRSP MatchingHealth Benefits and Spending AccountCompany OverviewRight now, millions of people around the world are affected by human trafficking—and an estimated 1 in 3 victims is a child.
