Key Responsibilities
Your primary responsibilities will include processing daily reconciliation activities, managing trade and transfer operations, and ensuring seamless coordination between various internal and external stakeholders. Below is a detailed breakdown of your essential duties:
Transaction Processing & Trade Execution
Process exchange buy and sell transactions accurately within customer accounts, ensuring all trades are executed in accordance with regulatory requirements
Review and validate membership deals and transaction requests to maintain data integrity
Execute client investment and dividend requests in a timely and precise manner
Process and reconcile return activities with accuracy and attention to detail
Reconciliation & Break Resolution
Identify, analyze, and resolve breaks detected between arenaflex and fund companies or transfer agents
Perform daily reconciliation across operational systems and fund company records
Settle business, dividend, and transfer breaks efficiently to minimize discrepancies
Conduct reconciliation activities between internal systems and external fund partners
Corporate Actions & Transfer Management
Handle corporate activity events, including mergers, acquisitions, stock splits, and proxy elections
Settle and reconcile transfer activity to ensure accurate account transfers
Process incoming and outgoing transfer requests while maintaining compliance standards
Review and analyze applicable tax codes and correct tax coding as necessary
Problem Solving & Escalation
Research and resolve complex or escalated issues that arise during daily operations
Identify root causes of discrepancies between arenaflex, fund companies, and contra agencies
Test and validate new technology enhancements and provider changes
Recommend process or technology solutions to management for continuous improvement
Client & Partner Services
Respond to service partner inquiries regarding fund-specific requirements and eligibility
Provide actionable follow-up on investment transfer requests to expedite client needs or remediate issues
Address client/advisor level exceptions with professionalism and urgency
Coordinate with external partners including fund companies, transfer agents, and contra agencies
Compliance & Regulatory Adherence
Ensure regulatory compliance with applicable rules and regulations (including Rules 2340 and 15C3-3)
Maintain accurate records and documentation for all processing activities
Adhere to established policies and procedures to mitigate risk and protect client interests
Essential Qualifications
To succeed in this role, you must possess the following qualifications:
Education: High school diploma required; Bachelor's degree in Finance, Accounting, Business Administration, or related field preferred
Communication Skills: Strong verbal and written communication abilities, with the capacity to interact professionally via email, phone, and messaging platforms
Technical Proficiency: Comfortable using financial software, Microsoft Office Suite (especially Excel), Outlook, Slack, and CRM systems such as Salesforce
