To drive continued success in this exciting clinical research field, we are seeking committed, skilled, and customer-focused individuals to join our winning team as a Director, Site Payments.
The Director, Site Payments is responsible for overseeing the operational execution of investigator site payments across assigned clinical trials. This role ensures that payments to investigative sites are processed accurately, timely, and in accordance with study budgets, site contracts, and sponsor requirements.
The Director will lead a team of site payment specialists managing the entire payment process and collaborate with Clinical Operations, Site Contracts & Budgets, Finance, and Sponsor stakeholders.
This position plays a key role in ensuring investigator sites are compensated appropriately, supporting strong site relationships and smooth trial execution, and reporting to internal and external corporate finance stakeholders
Key Accountabilities:

Site Payment Operations


Manage the end-to-end site payment process for assigned clinical trials. Ensure site payments align with approved study budgets and site agreements.
Monitor and track payment status, ensuring payments are issued according to contractual timelines.
Investigate and resolve payment discrepancies, delays, or site inquiries.
Act as a point of contact for payment-related inquiries from internal teams and sponsor representatives.

Study Startup Support

Partner with the Site Contracts & Budgets team to ensure financial terms in site agreements are accurately reflected in payment systems.
Configure payment schedules and milestones in investigator payment systems (e.g. Medidata payments).
Validate budget parameters prior to payment activation.

Team Leadership

Supervise and mentor Site Payment Specialists.
Assign workload across studies and monitor team productivity.
Provide training on payment processes, systems, and compliance requirements.
Conduct performance reviews and support professional development.

Lead Cross-Functional Collaboration with

Clinical Operations, Data Management, and Project Management to verify visit completion, milestone triggers, and data transfers.
Corporate Finance for timely and accurate monthly accrual reporting, payment processing, and cash reconciliation.
Site Contracts & Budgets teams for contract alignment.

Systems & Process Improvement

Manage daily use of site payments platforms (e.g. Medidata Payments).
Identify opportunities to improve efficiency, automation, and reporting within the payment process.
Support system testing, updates, and new technology implementation.

Compliance & Quality

Ensure payment processes adhere to:

Contractual obligations
Sponsor requirements
Financial and regulatory guidelines

Support internal and external audits related to site payments.
Maintain accurate documentation of payment approvals and financial records.

Reporting & Financial Tracking

Support timely and accurate financial accrual reporting on monthly basis.
Ensure cash availability for payment processing, negotiate cash advances with Sponsors.

Qualifications and Experience:

Bachelor’s degree in Finance, Accounting, Business Administration, Life Sciences, or related field
Minimum of 10 years of experience in clinical research, clinical finance, or investigator payment operations
Experience working within a CRO, pharmaceutical, or biotech organization
Experience managing clinical trial site payments in global studies
Prior team leadership or supervisory experience
Proven track record of experience with clinical trial payment and financial systems, such as Medidata Payments is critical
Advanced proficiency with Microsoft Excel
Strong data analysis and reporting capabilities
Knowledge of site payment regulations (e.g., Sunshine Act, GDPR)

Estimated Salary Range: $180,000 - 220,000.
