What You'll Do

As a Customer Service Representative at arenaflex, your primary responsibility is to deliver outstanding service to every customer who reaches out to us. Your days will be diverse and engaging, requiring you to switch between various tasks seamlessly while maintaining attention to detail and professionalism. Here's what you can expect:

Customer Inquiry Management

Receive, research, and resolve customer inquiries, complaints, and requests with urgency and accuracy
Address concerns related to rates, policies, practices, procedures, and our comprehensive range of products and services
Respond to customer questions about payments, account balances, and usage patterns with clear, helpful explanations
Navigate complex customer situations with empathy, patience, and professionalism


Account Administration

Research, analyze, and update customer account information to ensure accurate billing and collections
Correct errors on customer accounts, billing data, or metering data as needed
Establish new accounts and administer services and programs for incoming customers
Apply credit policies in accordance with arenaflex's established guidelines and procedures


Operations and Coordination

Prepare various entries, reports, and statistics as required by management
Initiate and complete appropriate field orders and investigations based on customer requests
Process, direct, and dispatch field personnel to complete work orders efficiently
Handle customer outage contacts and enter trouble orders promptly to ensure rapid response
Perform cashiering duties, including accepting payments and preparing bank deposits
Conduct daily operations of business offices in the absence of a supervisor


Customer Education and Support

Inform customers about water ordering and delivery procedures and terminology
Maintain and file customer information and records accurately
Coordinate work with internal departments to accomplish tasks effectively
Assist other representatives and perform additional duties as assigned

Essential Requirements

Fluency in both English and Spanish – You must be able to communicate effectively in both languages, both verbally and in writing, to serve our diverse customer base
Experience as a Customer Services Representative, Customer Services Representative Trainee, Administrative Clerk, or General Clerk – or equivalent experience in a customer-facing role
Exceptional communication skills with the ability to tactfully converse with customers and employees at all levels
Strong listening, analytical, and interpersonal skills to understand customer needs and provide appropriate solutions
Ability to read and interpret customer account information accurately
Capacity to adhere to policies and procedures while exercising good judgment
Strong organizational skills and attention to detail
Proficiency with computer systems and the ability to learn new software quickly


Preferred Qualifications

Experience in a hybrid work environment is preferred, demonstrating adaptability to different work settings
Previous experience in the utility industry or a similar regulated service environment
Familiarity with billing systems and customer relationship management software
Knowledge of credit policies and collections procedures
