Job DescriptionThe Assistant Director, Enrollment Operations and Systems is part of the Strategic EnrollmentManagement (SEM) unit in the Owen Graduate School of Management (OGSM) at Vanderbilt Universityand is a key individual contributor responsible for optimizing Slate CRM to support admissions,recruiting, marketing and partners across the school. The position combines advanced technicalexpertise, particularly in building and maintaining complex configurable joins queries, portals andworkflows—with the ability to train, support, and guide users in their daily transactions/workflows. Aspart of the Enrollment Operations and Systems team, the Assistant Director plays a central role insafeguarding data integrity, optimizing system performance, and ensuring that Slate remains a reliable,strategic asset for the school. The Assistant Director reports directly to the Director of EnrollmentOperations and Systems.The Owen Graduate School of Management (OGSM) is a professional school at Vanderbilt University,located in Nashville, Tennessee, focused on graduate-level business education. The Strategic Enrollment Management (SEM) Division is a dedicated unit within the Owen GraduateSchool of Management (OGSM) focused on optimizing the recruitment, selection, aiding, onboarding,and enrollment of students throughout their academic journey. The SEM Division employs data-driven strategies that align enrollment practices with OGSM’s reputational ambitions, revenue goals, andacademic mission.Duties and Responsibilities Serve as the primary support resource for Slate Portals, Workflows, and Query/Reporting,ensuring staff can effectively execute evaluation and recruiting processes, as well as rely on datafor strategic planning.Lead all aspects of Slate CRM data import and export process, for internal and external stakeholders.Provide timely, high-level training, troubleshooting, and guidance for admissions, recruiting, andmarketing staff to maximize Slate functionality.Build, test, and maintain configurable joins queries to support critical processes, reporting, and externalintegrations.Ensure system accuracy, data integrity, and compliance with institutional policies and federal regulations.Stay engaged with the Slate user community to identify and implement best practices and systeminnovations.Maintain strong working relationships within OGSM, across UEA and external vendors to ensure seamless integration of systems and processes and the flow of data related to admissions and enrollment activities.Collaborate with the Director of Enrollment Operations and Systems to develop Objectives and KeyResults (OKRs) related to enrollment operational efficiency across all programs, analyzing data to measure effectiveness and inform continuous improvement strategiesOther duties as assigned Supervisory RelationshipsThis role entails direct supervisory responsibilities for part-time staff members. This role reportsdirectly to the Director of Enrollment Operations and Systems.QualificationsBachelor’s degree required.Minimum of 5 to 7 years of professional experience in enrollment management, admissions, or arelated higher education field.2+ years of direct Slate CRM administration and user support, with emphasis on Portals, Workflows, and Configurable Joins.Proven experience in training, documentation, or CRM technical support.Advanced expertise in Slate CRM, with deep experience in Portals, Workflows, and Configurable Joins.Proficiency in building and maintaining complex configurable joins queries.Knowledge of key Slate CRM tools: Upload Dataset, Rules, Populations, Deliver, and Events.Strong problem-solving ability to translate user needs into scalable system solutions.Excellent training, support, and communication skills to serve cross-functional teams.Highly organized, able to manage multiple projects and priorities simultaneously.Commitment to accuracy, confidentiality, and maintaining the highest data standards.Demonstrated experience with admissions software (Slate CRM), SIS (PeopleSoft preferred), MS Office Word and Excel in particular, Adobe, and proficiency in data analysis and reporting tools. Working familiarity with querying language and syntax (e.g., HTML, CSS, or SQL) as well as an understanding of data integration concepts.
