Admissions CoordinatorLocation: Remote, must work in PST or MST Time Zone Employment Type: Full-Time, W-2 Employee, Non-ExemptHourly Rate: $27-30/hour, paid bi-weeklySchedule/Hours: Monday-Friday 8am-5pm PST or MST (no nights or weekends!)Reports To: Director of OperationsJoin a mission-driven team making a meaningful difference in mental health care at NeuroStim TMS Centers, Washington’s leading provider of Transcranial Magnetic Stimulation (TMS) Therapy. We are seeking a compassionate, detail-oriented Admissions Coordinator to be the patients first point of contact, guiding them through the initial steps of their mental health journey. Primary Responsibilities Include (but are not limited to):Manage high-volume inbound and outbound calls, texts, and emails for new and returning patients, providing clear, confident communication from first point of contact with a strong sense of urgency and follow-throughSchedule qualified consultations that convert, aligned with clinic-specific performance metrics and goalsUse Salesforce and other systems to manage patient follow-ups, track activity, and maintain accurate, detailed communication recordsGuide patients through registration and portal account creation, ensuring a smooth and complete onboarding experienceCoordinate provider referrals and verify insurance eligibility, including navigating patient benefits through insurance portals and clearly communicating coverage, expectations, and next stepsEducate patients on treatment options, processes, and what to expect, ensuring they feel informed and preparedRe-engage previous patients and manage ongoing outreach to support consult volume and pipeline goalsProvide administrative support to ensure a seamless, organized patient onboarding experienceMaintain a high level of attention to detail while working across multiple platforms simultaneouslyWork independently in a remote environment while staying productive, responsive, and accountable to performance expectationsCollaborate closely with clinical teams to ensure patients are appropriately prepared and transitioned for care Compensation & Benefits (Full-Time Employees are eligible for):Competitive Hourly Rate: $27-30/hour, paid bi-weeklyBonus Potential: Up to $10,000 annually401(k) retirement plan with employer match up to 4%Comprehensive medical, dental, and vision insurance for employees and eligible dependentsHSA (with employer contribution) and FSA options to help manage healthcare and dependent care expensesEmployer-paid life insurance and AD&D coverageEmployee Assistance Program (EAP) with confidential mental health and life support resourcesGenerous paid time off and additional paid holidays
Requirements
Admissions Coordinator Qualifications:Minimum of 3 years experience in healthcare administration or patient coordination is requiredExcellent communication and customer service skillsExperience with CRM systems (Salesforce preferred)Strong organizational skills with the ability to multitask in a fast-paced environmentMust be able to work Pacific or Mountain Standard Time hours About NeuroStim TMS CentersNeuroStim TMS Centers is a growing network of outpatient mental health clinics specializing in evidence-based, noninvasive treatments for depression and other mood disorders.
