The Opportunity
As the Administrative & Reception Specialist, you will be the welcoming face and essential support system for our organization. Reporting to the Office Manager, you will play a vital role in both reception duties and providing comprehensive administrative assistance.

Responsibilities
Reception Duties:

Warmly greet and welcome guests, directing them to the appropriate staff members and offices.
Serve as a primary point of contact for new hires, providing office tours and onboarding support.
Manage incoming calls and voicemail, efficiently directing inquiries to the relevant personnel.
Assist with deliveries and shipments, ensuring timely and accurate handling.
Collect, sort, and distribute mail, maintaining a tidy and organized reception area.
Maintain cleanliness and organization in reception and conference rooms.
Assist with stocking and tidying the café area.


Administrative Duties:

Monitor and replenish kitchen inventory throughout the day.
Manage conference room calendars and resolve scheduling conflicts diplomatically.
Ensure overall office cleanliness and orderliness.
Monitor and order office supplies as needed.
Assist with shipping and materials for meetings and trainings.
Coordinate office events and meetings, including ordering lunches.
Provide support for company hospitality and incentives.
Perform ad-hoc administrative tasks as required.
Prepare expense and specialty reports as requested and collaborate with the Accounting team.
Assist with bill processing and check issuance.


Qualifications

High School Diploma or GED required; Associate's or Bachelor's degree preferred.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Previous experience in reception or administrative roles preferred.
Strong organizational and time management skills.
Excellent oral and written communication skills.
Strong interpersonal skills and professionalism in interacting with all levels of personnel.
Ability to maintain confidentiality and discretion.
Proactive and resourceful in a fast-paced environment.
Strong sense of teamwork and willingness to assist as needed.


Position Requirements
This role primarily operates in an office environment, with potential for remote work. Physical requirements include prolonged periods of sitting or standing, computer use, and occasional lifting and bending.
