Administration and Finance Coordinator

Introduction

The Cadasta Foundation provides partnerships, technology, training and technical support to help governments and marginalized communities document their land, property, and resource rights. We are seeking an Administration and Finance Coordinator to assist the organization in day-to-day administration and financial functions.

This position will be a crucial addition to the organization, reporting to the Chief Executive Officer and providing support in various corporate functions in the Administration and Finance Departments. This position will also interact with other staff members, including the Business Development (BD) Director, Senior Program Director, and Board members.

A strong candidate will have the ability to work under tight deadlines, good communication skills to assist member outreach, and a team player who is willing to learn and step up for the new assignments.

Responsibilities

Administration
• Work with the CEO and Chief Program Officer to lead the coordination of activities such as travel, events, staff meetings, and external meetings with key stakeholders.
• Work with the CEO and Chief Program Officer to lead coordination of activities related to board meetings
• Manage the organizational CRM system's inputs and outputs, including producing key reports for Project Management.
• Lead Ops, Teams Coordination and All staff Meeting
• Support organizational and project-specific procurement/purchasing
• Lead coordination of staff travel, including:
• Handling travel requests, travel advances, travel bookings, COVID, and informed consent waivers;
• Coordinating all staff retreat logistics organization; and
• Tracking travel mileage
• Internal compliance, including:
• Conducting quarterly compliance on active partners as well as compliance check on new partners;
• Assisting in facilitating annual goal setting and performance review process for all staff;
• Initiating and ensuring staff completion of annual signing of Conflict of Interest form and Code of Conduct on Anti-Harassment;
• Scheduling and ensuring staff completion of the annual preventing sexual exploitation, abuse, and harassment training.
• Provide support to the human resources function as needed, including:
• Posting positions to Breezy and monitoring/shortlisting applicants;
• Coordinating interview processes with candidates and staff members;
• Assisting in contracts and contract modifications for consultants; and
• Keeping onboarding materials updated.
• Policy creation and updates
• Internal communication support, including weekly internal newsletter compilation and dissemination.

Finance
• Assist Finance Director in monthly credit card reconciliation, including receipts collection, expenses reconciliation and bookkeeping entries.
• Assist Finance Director during the year-end audit
• Assist BD and Program team in fee for service budget development
• Prepare quarterly CEO credit card expense report to be shared with Board
• Prepare consolidated bank statements to be shared with controller and senior management team

Required Skills, Qualifications and Experience

The successful candidate will be detail-oriented and a team player with strong interpersonal, communication, and presentation skills. They will have:
• Bachelor’s degree in relevant field;
• Experience in related activities, such as human resources administration, administrative management practices and procedures;
• Basic knowledge and understanding of professional accounting principles, theories, practices, and terminology;
• Exceptional time management skills and ability to multitask and prioritize work to meet deadlines;
• Excellent accounting software user with a high degree of proficiency in slack, Zoom, G-suite, Adobe, and Microsoft Office; and
• Ideally, experience with grants and contracts review, management, and compliance.
