ABA Compliance Specialist Full-Time | Remote | Monday–Friday, 8:00 AM – 5:00 PM Willow ABA Services is seeking a highly detail-oriented and regulatory-savvy ABA Compliance Specialist to lead compliance efforts across our center-based programs, school-based ABA services, and remote caregiver support model. This is a pivotal role responsible for ensuring that our clinical practices and operational systems align with state, insurance, and district regulations—supporting ethical, high-quality care across every service we offer. You’ll also have the opportunity to guide internal audits and provide regulatory insight across diverse service models—all while working remotely. What You’ll Do The ABA Compliance Specialist will develop, monitor, and maintain compliance systems across center-based, school-based, and remote caregiver support services. You’ll lead policy creation, oversee licensing and credentialing, manage audits, and ensure all teams are operating within applicable federal, state, local, and payer requirements. Key Responsibilities: • Interpret and implement regulations and licensing requirements for: • Center-based ABA programs (In Kansas, North Carolina, and Colorado) • School-based services • Remote caregiver coaching and support models (For remote BCBA providers) • Maintain state-required licenses, including initiating and overseeing the School Facility License • Stay current on BACB, Medicaid, and commercial payer requirements for BCBAs and RBTs • Read and interpret contracts, legal guidance, and policies to identify compliance implications • Draft, update, and implement internal policies and SOPs across all service lines • Conduct internal audits, including: • Progress note audits to ensure clinical documentation aligns with billing and insurance guidelines • Billing audits to verify coding, timeliness, and documentation compliance • Provide compliance training to clinical and administrative staff across service models • Partner with leadership to develop corrective action plans as needed • Monitor credentialing and recredentialing timelines for BCBAs and RBTs • Serve as a point of contact during external audits and inspections • Maintain documentation systems to ensure readiness for review by insurers, licensing bodies, or school districts • Collaborate across departments to anticipate compliance needs in program development What We’re Looking For Required: • Strong knowledge of Colorado regulations for ABA providers and facilities • Familiarity with BACB supervision, credentialing, and ethics standards • Experience with school-based licensing • Excellent written and verbal communication skills, especially for interpreting legal or policy documents • Detail-oriented mindset with strong organizational and auditing skills • Ability to navigate rules with nuance—knowing when to be rigid and when flexibility is appropriate • Confidence in drafting policies and implementing system-level changes • Comfort working remotely and communicating across teams virtually • Availability Monday–Friday, 8:00 AM – 5:00 PM Preferred: • Bachelor’s degree in a related field (Healthcare Administration, Education, ABA, etc.) • Experience in a compliance, QA/QI, or policy-focused role in ABA, healthcare, or education • Familiarity with Medicaid and commercial payer policies for ABA services • Experience with Central Reach or similar EMR systems • Understanding of HIPAA, FERPA, and relevant privacy laws Compensation & Benefits Benefits Include: • 401(k) with employer match • Medical, Dental, and Vision insurance • Paid Time Off • Flexible Spending and Health Savings Accounts • Paid parental leave • Ongoing training and professional development support • Company-provided laptop and technology support Salary: $50,000-$65,000 per year, depending on experience Schedule: Full-Time | Remote | Monday–Friday, 8:00 AM – 5:00 PM Equal Opportunity Employer Willow ABA is proud to be an Equal Opportunity Employer.
