Reporting to the VP of PeopleOps, this individual will oversee the entire process, from pre-boarding tasks to ensuring that new team members are fully integrated into the company. Working closely with PeopleOps and department heads, the Onboarding Specialist will be the primary point of contact for all onboarding-related matters, fostering a welcoming environment for new employees.
What you’ll do
• Manage the end-to-end onboarding process, ensuring a seamless and engaging experience for new employees.
• Coordinate with hiring managers and department heads to prepare onboarding schedules.
• Serve as the primary point of contact for new hires during their onboarding journey, addressing questions and providing support.
• Conduct pre-employment reference checks.
• Manage the collection and filing of required documents, including tax forms, non-disclosure agreements... E-verify, and other employment documents.
• Ensure compliance with company policies and relevant labor laws.
• Create and maintain orientation materials, ensuring they are up-to-date and relevant.
• Ensure proper setup of company systems and access based on roles and responsibilities.
• Provide support with the workforce management software (Rippling)
• Maintain contractor information and be a liaison with employment/vendor agencies
• Continuously refine and improve the onboarding process to enhance the employee experience.
• Assist with special PeopleOps projects and initiatives related to onboarding and employee engagement.
• Maintain accurate and up-to-date records in HR systems.
What you’ll bring
• 3+ years of experience in an HR, onboarding, or employee experience role.
• Strong organizational and time-management skills, with the ability to handle multiple tasks and priorities.
• Excellent interpersonal and communication skills, with the ability to interact effectively with employees at all levels.
• High attention to detail and accuracy in managing documentation and workflows.
• Familiarity with HR systems and tools (e.g., HRIS, applicant tracking systems, onboarding platforms).
• A proactive and problem-solving mindset with the ability to work independently.
