About the Role
A boutique wedding planning firm is seeking a polished, proactive Virtual Executive Assistant to support day-to-day operations and help maintain a high-touch client experience behind the scenes.
This role blends administrative support, light project coordination, and client-facing communication (email only). The ideal candidate is detail-oriented, organized, and thoughtful—with excellent written communication skills and a strong understanding of how to support a brand rooted in hospitality, design, and service.
Key Responsibilities
Manage and maintain calendars, appointments, and internal deadlines
Draft and manage client communication via email on behalf of the lead planner
Oversee inbox organization, follow-ups, and response tracking
Assist with client onboarding, file prep, and CRM updates (e.g., HoneyBook or similar)
Conduct vendor and topic-specific research as needed
Schedule and publish content using social media tools (Later, Planoly, or similar)
Track administrative to-dos and support light task coordination across active projects
Support in the development and maintenance of internal workflows and SOPs
Ideal Candidate
Based in Houston or familiar with CST hours (preferred but not required)
Professional and warm written communicator
Highly organized with excellent attention to detail
Familiar with Google Workspace, Microsoft Office, and CRM platforms
Experience supporting executives, creatives, or service-based businesses
Comfortable working independently, but collaborative and responsive
Appreciates aesthetic details, clear systems, and client-centered service
