Determine that appropriate records have been received b. Start and submit spark file • Determine appropriate Spark account to start case • Enter patient data • Enter facial and xray files • Enter scan and CBCT files • Update notes to reflect next steps and status c. Start and enter info for dx reports • Transfer patient records as needed to initiate a request for case setup • Upload smile sim • Upload report pics from ortho • Upload report to office level board • Update status on boards • Request info from DDS boards as needed 2. New case starts a. Update spark notes • Start patient in DM, set status on dashboard • Set future date for SDI required on dashboard b. Request start date if needed c. Task ortho and VCA team for SDI instructions 3 . Case dates/status a. Tracking information and dates shipped (Spark) b. Update DM links to dashboard for new starts 4. Refinement uploads • Start case in Spark dashboard • Pause/stop Dental Monitoring and message patient • Update ODO dashboard and DDS dashboard status • Request info as needed to submit case 5. General messaging (Incoming from dashboards) a. Any incoming chats forward message to appropriate stakeholder at ODO b. Review and task incoming Spark status emails • Up for review, disseminate to appropriate clinician/bucket • If returned and ready for Ortho to review • If shipped, update DDS board for new case or refinement case • Prepared responses such as “We received your message, we will have a team member respond shortly” • Task appropriate team member to respond with additional information. • Task Ortho team as cases move through system • Task VCA team as needed for case review c.
