Virtual Assistant, Veteran Follow-Ups & Care Coordination – 4 Hours/Week
I’m looking for a reliable, personable, and empathetic Virtual Assistant to help with weekly check-ins for about 40+ Veteran clients.
This is not a sales role and not a call-center job. You’re simply helping Veterans stay on track with the homework and appointments we’re already working on together.
Most calls last under a minute. If there’s no update, you thank them for their time, log the call, and move on.

• 4 hours per week total
• Two 2-hour blocks, Monday and Thursday
• Opportunity for more hours as the role grows

What You’ll Be Doing
• Friendly follow-ups
Making short outbound calls or texts through RingCentral to check in with Veterans. The goal is simple, see if there are any updates since the last touchpoint.
• Appointment coordination
If a Veteran has an upcoming medical appointment, you’ll immediately help schedule them for a quick Symptoms Review using a booking link.
• CRM updates
After each interaction, you’ll complete a short Zoho Form that updates our system and triggers automations.
• Tracking non-responses
Keeping a clean, rolling list so no Veteran slips through the cracks.

What I’m Looking For
• Strong people skills
You’re comfortable on the phone, sound natural and respectful, and can build quick rapport without oversharing or rushing.
• Empathy and awareness
You don’t need to be a Veteran, but familiarity with military culture or having family or friends who’ve served is a big plus.
• Organized and consistent
This role runs on routine and follow-through. Showing up, staying focused, and logging things correctly matters.
• Tech-comfortable
Experience with CRMs, Zoho, RingCentral, or similar tools is helpful but not required. I care more about accuracy than speed.
