Vacation Rental Property Manager

As a Vacation Rental Property Manager, you will play a pivotal role in overseeing the daily operations of our premium short-term rental portfolio while ensuring exceptional guest experiences and consistent property performance. You will coordinate vendors, track property maintenance like an HOA, manage maintenance budgets, and evaluate contractor performance to maintain operational excellence across multiple destinations. Your bilingual communication skills, leadership experience, and technical proficiency will help you manage people, systems, and processes efficiently — upholding the highest hospitality standards in every property. What You’ll Do • Oversee the daily operations of multiple vacation rental properties, ensuring every unit is guest-ready, well-maintained, and aligned with brand standards. • Communicate fluently in English and Spanish with contractors, maintenance teams, and vendors to coordinate work and resolve issues promptly. • Track and manage each property as an HOA would, maintaining detailed maintenance logs, cost reports, and vendor performance records. • Evaluate and track contractors’ performance based on timeliness, quality, responsiveness, and cost-effectiveness. • Coordinate cleaning, maintenance, and repair schedules, ensuring work orders are completed efficiently and meet quality standards. • Control and optimize maintenance costs by comparing vendor bids, monitoring expenses, identifying inefficiencies, and finding opportunities to reduce recurring costs. • Manage guest communications across Airbnb, VRBO, and Booking.com, resolving escalated issues with professionalism and care. • Utilize Guesty to manage bookings, calendars, pricing, and operational workflows. • Audit property listings to ensure accuracy in descriptions, amenities, and pricing. • Develop, document, and improve Standard Operating Procedures (SOPs) for consistent operational excellence. • Monitor KPIs (response time, resolution speed, occupancy, guest satisfaction) and prepare weekly performance summaries. • Collaborate with leadership to identify operational trends, improve vendor selection, and forecast maintenance needs. Basic Qualifications • Fluent in both English and Spanish (written and spoken) — mandatory. • Minimum 2 years of experience in vacation rental, hospitality, or property management. • Proven background in construction, maintenance, or renovation. • Experience managing properties or operations as part of a Homeowners Association (HOA) or similar structure is a strong plus. • Demonstrated ability to evaluate, manage, and track contractor and vendor performance. • Strong understanding of maintenance cost control, budgeting, and expense optimization. • Strong organizational skills, attention to detail, and ability to multitask effectively. • Proficiency with software tools such as Guesty, Slack, Google Workspace, Outlook, Asana, Notion, and Monday.com. • Reliable high-speed internet connection and ability to work during U.S. time zones (PST preferred). • Self-motivated professional with initiative, accountability, and strong communication skills. Preferred Qualifications • Experience managing 10 or more vacation rental properties. • Familiarity with dynamic pricing tools (PriceLabs, Wheelhouse, Beyond). • Prior experience in HOA property maintenance management or vendor oversight. • Knowledge of automation tools (Zapier, Make) for operational efficiency. • Proven ability to reduce maintenance costs while maintaining high property standards.
